Join the Development Services branch as an Administrative Clerk II, where you will provide vital support to the Branch Manager’s Office in a fast-paced and dynamic environment. This role is perfect for a proactive professional who thrives on variety and independent problem-solving.
This position performs diverse clerical functions to support the Branch Manager’s office, focusing on routing inquiries, managing assets, coordinating branch-wide events, and providing administrative support. You will manage complex priorities and navigate various business areas to ensure smooth operational delivery.
What will you do?
- Manage inquiry processes, including assigning jobs, proofreading responses, and tracking deadlines
- Provide IT asset management support, including maintaining databases and coordinating laptop refreshes
- Coordinate branch-wide event bookings, staff engagement activities, and meeting logistics
- Maintain tracking logs for council reports, memberships, travel and training, and industry contacts
- Administer the branch leave request process and coordinate corporate long-service awards
- Update and maintain branch templates, Google sites, contact lists, training logs, and document management systems
- Provide coverage for section administrators
Qualifications:
- Completion of the 12th school grade including business subjects with an emphasis on general office practices or an appropriate administrative professional certificate program from an accredited business school or college
- Two years of progressively responsible, diversified administrative experience in a fast-paced, highly political office setting
- Experience supporting senior leadership
- Computer competency
Assets:
- Additional related education and training
- Familiarity with ARIBA and PeopleSoft
Skills required for success:
- Proficiency in Google applications, including Docs, Sheets, Sites, Drive, and Gmail
- Expertise in Posse and OneCity Correspondence systems
- Application of Access to Information (ATI) in processing information requests
- Commitment to professional customer service in challenging environments
- Exceptional prioritization of calendar requests and task management
- Strong written and oral communication
- Independent research to complete tasks and solve problems
- Adherence to City policies, procedures, and formatting standards
- Building and influencing relationships without formal authority
- High degree of judgment and discretion when handling confidential or politically sensitive issues

- This role works primarily in an indoor setting
- Availability to attend events during the evenings and weekends may be required from time to time
- This is a public-facing role and requires engagement and interaction with diverse people from various backgrounds
