About the role

Job Description

Purpose:

The HR Coordinator works to assist the Operations and HR management team in day-to-day HR programs and initiatives, including HR records management, employee relations, HR support for business sites, and benefits. This position provides support with a high level of discretion and good judgment while demonstrating independence in problem solving.

Duties and Responsibilities:

  • Manage all details and coordination of disciplinary discussions, terminations, and investigations. - Guide the leadership team on sensitive or complex matters and elevate to the appropriate staff when investigations are required.
  • Ensure professionalism and confidentiality in all aspects of the role.
  • Providing centralized human resource service support for all employee inquiries questions or concerns, including administrative duties.
  • Researching, analyzing, and maintaining information systems in support of human resource administration.
  • Entering all employee information into applicable systems.
  • Assisting with HR paperwork and electronic filing: sick days, ROEs, WSIB forms, termination documentation, group benefits, and payroll.
  • Working closely with payroll to administer and process all employee changes, advising on any issues or

changes that affect an employee’s pay.

  • Maintaining all types of employee leaves in accordance with internal policy.
  • Monitoring HR information needs and modifying existing systems to meet changing requirements.
  • Preparing and/or customizing various HR letters, ad hoc reports, and statistics for management.
  • Providing administrative support associated with new hires, leaves of absence, benefit changes, transfers, terminations, etc.
  • Supporting Onboarding and Offboarding activities; and assuming a supportive role in the recruitment and selection activities.
  • Assisting with job descriptions, job postings, offer letters, and scheduling interviews.
  • Making revisions and updates pertaining to HR policies and documentation.
  • Maintaining confidentiality related to all activities and information of sensitive nature.
  • Generating and delivering confidential documents to employees i.e., letters of employment, etc.
  • Conducting exit surveys and reporting on findings.
  • Performing required employee verification and background check screening.
  • Tracking employee credentials and ensuring qualifications are maintained on file (identifying pending credential expiries and updates and communicating with employees).
  • Other duties and task assignments by management.

Qualifications:

  • A relevant post-secondary program in Human Resources Management.
  • Strong interpersonal skills with the ability to interact effectively with employees at all levels of the organization and with all external contacts.
  • Solid verbal, written, and listening communication; and conflict resolution skills to deal effectively with multiple departments.
  • Knowledge of employment and related legislation (e.g., Human Rights Code, Employment Standards Act, Employment Equity Legislation, OHSA).
  • Experience with HRIS Systems is an asset.
  • Highly organized self-starter with a demonstrated ability to multi-task priorities, and place urgency on tasks to complete assignments on time.
  • Adaptable, flexible self-directed, and the ability to work effectively both independently and as part of a team.
  • The ability to maintain discretion and confidentiality.
  • Demonstrate honesty, integrity, fairness, and ethical conduct always.
  • Able to remain calm and respond constructively to pressure and in dealing with conflict.
  • A minimum of 1 year of practical coordinator experience in a client-focused role (the Human Resources department is preferred).
  • Proficient with Microsoft Office (Excel, Word & PowerPoint).
  • Experience with Recruitment, Selection, Employee Relations, and Labour Relations (an asset).
