JOB SUMMARY The Robert Quartermain Centre for SOGI-inclusive Excellence in Education (RQCSIEE) is a new, donor-funded centre that is intended to serve as a collaborative space for community engagement with scholars, practitioners, and policymakers to advance SOGI-inclusion in education. The current foci of the centre include (but are not limited to) research-to-practice through a lens of educational leadership, professional development, and connections to community and school systems related to SOGI-inclusive education. The Administrative Coordinator supports the Director of RQCSIEE with the Centre’s day-to-day operations. ORGANIZATIONAL STATUS The Administrative Coordinator will report to and work with the Director of the RQCSIEE on a day-to-day basis. The Administrative Coordinator will interact with faculty, staff, and students across the Faculty of Education and UBC, as well as external partners of the RQCSIEE including donors and community members. WORK PERFORMED Oversee the administration of the RQCSIEE by coordinating work processes, establishing work schedules and priorities, and resolving complex issues. Provide administrative support to the Director of the RQSCIEE through scheduling large meetings and identifying and communicating high priority inquiries. In consultation with the Director of the RQCSIEE, coordinate the Centre’s communications, such as assisting in the development of professional development guides and curricular resources for educators on the topic of SOGI-inclusive education. Draft and edit reports, compile relevant data, and conduct routine research as required. Edit and update the RQSCIEE website using HTML, JavaScript, and CSS. Oversee the RQCSIEE social media channels. Ensure timeliness and accuracy of online information and resolution of problems, escalating to the Faculty of Education Communications Office when necessary. Respond to confidential telephone, email, and in-person inquiries, and provide information of a complex nature, such as resources for 2SLGBTQ+ community members. Perform financial duties such as monitoring and reporting on budgets, reconciling expenses of the RQSCIEE, and managing travel bookings. Arrange and oversees special events such as symposia, gatherings, or hubs. Liaise with external organizations (e.g., ARC Foundation, other universities) to exchange information and resources. Other duties as assigned. CONSEQUENCE OF ERROR This position is expected to exercise high degrees of maturity, autonomy, and independence while working under broad guidelines, including the UBC Brand Editorial Guide, the Faculty of Education Communications Guidelines and Protocols, and the UBC Social Media Guidelines. The consequence of error in this area could be very serious for the university as it concerns the public image, profile, and reputation of UBC on a provincial, national, and international level. Incorrect or insufficient information in a public forum may result in loss of support and embarrassment to the university. SUPERVISION RECEIVED Reports to and works under the supervision of the Director of the RQCSIEE. SUPERVISION GIVEN May train or oversee work of student employees, as required. Minimum Qualifications High School graduation, plus a two year post-secondary diploma, plus four years of related experience, or an equivalent combination of education and experience. - Willingness to respect diverse perspectives, including perspectives in conflict with one’s own - Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion Preferred Qualifications Familiarity, skill, and care in working with the 2SLGBTQ+ community, as well as other marginalized groups and communities. High school graduation and at least two year post-secondary diploma. At least three years of related experience or the equivalent combination of education and experience. Ability to take initiative, tact and discretion, effective oral and written communication, interpersonal, analytical, and organizational skills. Ability to prioritize and meet deadlines. Ability to work both independently and within a team environment. Computer experience with MS Office including Outlook, Word, Excel, and PowerPoint. Knowledge of HTML code and WebCT, experience creating web pages and web graphics, including content, coding, graphics, and design. Experience managing social media across multiple programs. Ability to use desktop publishing, graphic design, and database applications at an intermediate or advanced level. Demonstrated commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion.
