Your opportunity:

The Department of Medicine (DOM) is one of the largest in North America, with 830 full-time faculty members, 1,000 postgraduate trainees, and 20 specialty and sub-specialty divisions located across six fully-affiliated hospitals, four community-affiliated hospitals and more than a dozen additional clinical practice sites. We are a powerhouse of medical research, with more than $162-million in annual research funding. This research generates new knowledge with the goal of meaningfully impacting internal medicine training and the care and health outcomes of patients and their families.

As Program Coordinator, you will collaborate with faculty, trainees, and a high-performing team of administrative coordinators to support our education programs. Leveraging your exceptional organizational skills and attention to detail, you will serve as a central facilitator, regularly liaising with trainees and cultivating relationships with internal and external stakeholders. Your ability to engage a committed group of constituents, along with your proficiency in managing online course materials, assessments, and evaluations, will be key to the successful delivery of the program.

Your responsibilities will include:

  • Providing detailed information on program and training requirements
  • Ensuring hospital administrators follow medical education requirements, guidelines, and procedures
  • Coordinating application processes and verifying the accuracy and completeness of documents, forms, and grade calculations
  • Preparing examination timetables and coordinating program schedules and activities
  • Coordinating logistics for events and meetings (e.g., scheduling, taking minutes, arranging catering, troubleshooting booking conflicts)
  • Verifying the accuracy of invoices, making minor purchases, and collaborating on cost estimates

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience
  • Minimum two years' of related experience in a University or equivalent environment such as a teaching hospital
  • Demonstrated student services experience, including coordinating education programs, examination timetables, and ensuring compliance with program requirements, guidelines, and procedures
  • Experience providing frontline administrative support to academic leaders, faculty, trainees, and committees
  • Experience supporting events and implementing virtual meeting platforms
  • Experience drafting correspondence, maintaining databases, and generating reports
  • Advanced proficiency with MS Office Suite; familiarity with learning/content management systems and survey tools
  • Excellent interpersonal skills, demonstrating tact, diplomacy, and ability to build cooperative relationships
  • Strong organization and analytical skills, with ability to prioritize tasks, meet deadlines, and adapt to changing demands
  • Demonstrated ability to work independently, as well as part of a team

Assets (Nonessential):

  • Experience with medical education curriculum processes
  • Experience working with POWER, Elentra, Quercus, MEDSIS, OATS
