Executive Assistant (Administration/Council)
Job Summary**:**
Reporting to the Assistant Administrator, the incumbent is responsible providing administrative support to the Senior Administrator and Assistant Administrators.
Responsibilities**:**
- Accept, screen, and direct and/or respond to all inquiries and visitors as required.
- Schedule and manage appointments and meetings.
- Attend Council meetings, including committees, as required.
- Provide dedicated clerical support including letter and report preparation, mail processing, invoices, etc.
- Liaise with department heads, the Executive Assistant to Council, and other staff regarding Council meeting preparation, annual general meetings, and community meetings.
- Follow up with department heads and the Executive Assistant to Council and other staff as necessary regarding Council meetings, annual general meetings, and community meeting action items.
- Develop and maintain an appropriate records/information management system for the Senior and Assistant Administrators.
- Coordinate and take minutes for senior management team meetings.
- Other related duties as may be required from time to time.
Qualifications:
- High school diploma or equivalent.
- Post-secondary training in office administration, an asset but not required
- Minimum 2 years’ experience providing direct administrative support, an asset but not required
- Advanced computer skills in MS Office (Outlook, Word, Excel, PowerPoint).
- Demonstrated communication skills, written and verbal.
- Ability to work flexible hours from time to time, include working evenings/weekends.
Knowledge, Skills, and Abilities:
- Knowledge of key issues: programs, departments, policies and procedures, and personnel.
- Ability to adhere to strong confidentiality requirements.
- Knowledge of best practices in administrative processes.
- Ability to establish effective working relationships, both internally and with external stakeholders.
- Ability to problem-solve using sound judgment.
- Ability to successfully undergo periodic criminal records checks.
- Class 5 driver’s licence is an asset.
The successful candidate must undergo a Criminal Records check.
Salary Range: $54,873 – $64,164
