Opportunity

MacEwan University is seeking two individuals for Specialist, Admission Evaluation positions for full-time continuing opportunities with the Office of the University Registrar.

The Specialist, Admission Evaluation plays a pivotal role in supporting the student lifecycle by managing comprehensive admissions processes with a strong emphasis on accuracy, consistency, transparency, and a student-centered approach. You will be responsible for evaluating and making informed admissions decisions for domestic, international, and transfer applicants, ensuring alignment with institutional policies and procedures, faculty-specific criteria, and provincial privacy legislation. With a comprehensive understanding of these frameworks, the role ensures decisions are consistent, fair, and compliant.

You will also provide timely, accurate, and empathetic guidance to applicants, agents, faculty, and staff regarding admission and transfer credit policies and procedures. Through clear communication and supportive service, this role helps shape a positive and informed student experience, building trust and confidence in MacEwan’s admissions processes from first contact through to enrolment.

Key responsibilities include:

  • Evaluating and interpreting domestic and international secondary and post-secondary academic credentials to determine admissibility, requiring in-depth knowledge of Canadian provincial/territorial and global education systems, grading scales, grade conversions, and higher education accreditation;
  • Applying general and program specific admission requirements, including faculty/school-specific criteria and processes;
  • Authenticating and verifying transcripts, credentials, English language proficiency, and other non-standard academic documents;
  • Generating admission letters for applicants at various stages of the admission process, ensuring timely and accurate communication to support a smooth applicant experience;
  • Providing clear, empathetic guidance to applicants, students, recruiters, academic advisors, and other university stakeholders on admission and transfer credit statuses, policies, processes, program and course requirements, fees and withdrawals;
  • Updating the student information system with relevant data and decisions to ensure applicants can view accurate, up-to-date statuses and information online;
  • Maintaining application statuses by updating actions/action reasons and checklist items to reflect requirements and progress; and
  • Building and maintaining transfer articulation rules in the student information system.

SKILLS

You will have:

  • A customer service-oriented approach with a commitment to service excellence;
  • The ability to understand, interpret, and apply diverse and complex Canadian and International educational systems against established admission and transfer credit criteria across multiple faculties and programs;
  • The ability to understand, interpret, and apply departmental policies and procedures;
  • Familiarity with transfer credit assessment practices, including course evaluation and articulation;
  • Knowledge of the Freedom of Information and Protection of Privacy Act (Alberta);
  • Excellent written and oral communication skills, with the ability to explain complex information clearly and professionally;
  • Strong interpersonal skills with the ability to operate with a high degree of tact, diplomacy, professionalism, and sensitivity;
  • Strong analytical, problem-solving, decision-making, critical thinking, and conflict resolution skills;
  • A self-motivated attitude with excellent organizational and time management skills, along with keen attention to detail and accuracy;
  • The ability to remain calm and professional in challenging, fast-paced circumstances;
  • A proven ability to manage multiple priorities, meet deadlines, and adapt to shifting priorities in a fast-paced and dynamic work environment;
  • The ability to work independently and collaboratively in a team environment;
  • Proficiency in Microsoft Office 365 (i.e., Word, Excel, PowerPoint), SharePoint, Google, and in using student information systems (e.g., PeopleSoft) or related applications; and
  • Dedication to providing excellent student-focused service.

QUALIFICATIONS

  • A minimum of a bachelor’s degree in Business, Education, Administration, or a related field.
  • A minimum of 2 years of experience in a related role, such as admissions, enrolment management, credential evaluation, program evaluation, or a related administrative environment.
  • Experience with evaluating Canadian or international education to determine admission eligibility and transfer credit is considered an asset.
  • Experience with PeopleSoft - Campus Solutions is considered an asset.
  • Proficiency in a second language is also considered an asset.
  • An equivalent combination of education and experience may be considered.
