JOB SUMMARY

Providence Living is a non-profit Catholic-sponsored health care organization focused on long-term care, assisted living, housing, and other community services to support residents and their family members. Reporting to the Director, Site Operations, the Purchasing and Stores Clerk administers standing orders for standard medical, office, cleaning and other supplies including preparing and processing purchase orders, contacting suppliers to follow up on order issues and discrepancies, maintaining related documentation and records, and preparing reports as required. Receives, unpacks and checks incoming goods and supplies, conducts inventory counts, and maintains inventory records. Liaises with suppliers and internal departments as required. Carries out the Main Street Grocer activity program by ordering and stocking supplies, supporting residents and staff with purchases, maintaining inventory logs and resident purchase records, and balancing daily cash transactions against purchases. Provides work direction to assigned staff as required.

QUALIFICATIONS

Education, Training, and Experience

  • Grade 12

  • Four (4) years’ recent related experience or an equivalent combination of education, training and experience.

Skills and Abilities

  • Ability to communicate effectively both verbally and in writing.

  • Ability to deal with others effectively.

  • Physical ability to carry out the duties of the position.

  • Ability to organize work.

  • Ability to operate related equipment.

DUTIES

  • Processes purchase orders, ensuring accuracy and completeness while adhering to procurement policies including determining re-order points for standard medical, office, cleaning and other supplies, creating order lists, preparing or reviewing and verifying purchase orders received for correct quantities, descriptions, and authorized pricing, and entering purchase orders into the procurement system or forwarding to the appropriate supplier.

  • Contacts and/or corresponds with suppliers and representatives regarding estimated delivery dates, order discrepancies or adjustments, and any potential issues affecting the availability or pricing of requested items. Escalates issues to the Director as required. Establishes and maintains strong collaborative relationships with suppliers to help ensure minimal impact on the organization’s operations.

  • Receives, unpacks and checks incoming goods and supplies, ensures they are delivered as per specifications and completes the related paperwork. Checks invoices against purchase orders and goods/supplies received and works with suppliers and internal departments to resolve discrepancies and to return damaged or incorrect items. Conducts regular physical inventory checks, completes inventory reports, and makes recommendations for stock item changes to the appropriate department.

  • Maintains comprehensive records of all purchase orders, invoices, delivery receipts, payment records, correspondence with suppliers, and related procurement documentation and ensures records are readily accessible for review, reporting, and auditing purposes. Prepares related reports as required.

  • Carries out the Main Street Grocer activity program including activities such as daily opening of the Main Street Grocer, ordering inventory, supporting residents and staff with purchases, maintaining inventory logs and resident purchase records, checking inventory labels and expiration dates, rotating stocks, and completing the waste log as required. Completes closing activities such as checking cash balances against purchases and preparing a float for the next day.

  • Provides work direction to assigned staff including scheduling and coordinating work, and providing related training and orientation.

  • Performs other related duties as assigned.
