About the role

Title: Procurement Category Analyst

Reports To: Category Manager, Recurring Contracts and Supplier Management

Position Summary Responsible for a wide variety of duties and including but not limited to; RFx document development including Analysis and Support, Quote Requests, Contract Drafting, Amendment Drafting, Contract Scheduling Purchase Order creation/modification, Vendor Invoice Inquiries, budget support, and general procurement related administrative duties related to Property Management Service categories.

Key Responsibilities Category Management

  • Manage assigned real estate property service contracts. This includes, negotiating extensions, negotiating new contracts with Suppliers, drafting contracts (using standard templates), drafting amendments, drafting terminations, etc.
  • Work collaboratively with business owners (Operations groups, Technical Services, Operations support groups)
  • Conduct market research programs related to assigned categories, as well as creating cost estimates and forecasts
  • Assist business leads with procuring services following CAPREIT’s procurement policies and processes

Financial Support

  • Create Scheduling Purchase Orders in SAP (or other ERP system) that align to contracted cost schedules
  • Modify purchase orders as required
  • Work with Accounts Payable Department to work through invoicing issues
  • Update process documentation, as needed
  • Coordinate purchase order requests and creation with multiple departments
  • Investigate and resolve of purchase order discrepancies (incorrect item, price, etc.)
  • Assists in preparation of budget templates
  • Support with accrual inquiries
  • Address vendor payment inquiries and service/goods related issues
  • Other projects assigned by Sr. Procurement Manager, or Director

RFx Documentation

  • Support the preparation of RFx documentation (e.g. Pricing Sheets, Reference Data)
  • Analyze RFx bid submissions, assist with preparing summary reports

Contract Management

  • Maintain the Contract Repository
  • Accurately input key data of contracts in Contract Repository
  • Create contract repository reports

Building Acquisition & Dispositions

  • Support the acquisition and disposition of building assets. This may include;
  • Developing budgets
  • Communication with Suppliers regarding quoting/site visits, etc.
  • Summarizing quotes
  • Drafting contracts/amendments
  • Drafting terminations for dispositions

Compliance

  • Monitor & manage risk and compliance with procurement policies and processes

Assist in Auditing

  • Assist Management/auditors during auditing period

Other projects and tasks as needed assigned by Sr. Manager Procurement, or Director of Procurement.

Qualifications

  • 3 years related Procurement experience
  • RFx experience
  • Experience with Pivot tables
  • V-look up data
  • Experience with complex data manipulation through excel
  • Attention to detail and a high level of accuracy
  • Effective communication skills
  • Good time management skills
  • Team player
  • Ability to multitask
  • Good organizational skills

Education Requirements

  • Post‑secondary education in Business, Supply Chain, or a related field.
  • Relevant procurement or analytics coursework/certifications (e.g., SCMP, CIPS) are considered assets.
  • Candidates with equivalent experience will also be considered.
