Administrative Officer
Reporting to the Manager, Administration, the Administrative Officer is responsible for executing the day-to-day administrative function to support Graysbrook’s operations. This role encompasses administrative, client servicing and financial administration functions of the organization. The specific areas of responsibility are:
- Administration: Maintain accurate and organized client records, documentation, and information systems. Prepare operational reports and support the effective administration of lending activities through efficient processes and record management.
- Client servicing: Serve as the primary point of contact for post-funding client inquiries and requests. Provide ongoing support to clients, brokers, lawyers, and other stakeholders while ensuring timely communication and exceptional service throughout the lifecycle of a mortgage file.
- Financial Administration: Coordinate and administer mortgage servicing activities, including fundings, payouts, renewals and discharges. Process financial transactions, maintain accurate financial records, complete reconciliations and support month-end reporting requirements.
Education / Experience
- University degree in business or an equivalent from a community college.
- Minimum of three (3) years in an administrative support role.
- Basic bookkeeping experience, with banking experience considered to be an asset.
- Equivalent combination of education and experience will be considered.
