DXP/HSE Integrated is looking for an Office Administrator for our Mount Pearl, NL station .

Within this role, the Office Administrator is responsible for a variety of administrative and clerical duties. You will possess strong interpersonal and organizational skills, the ability to function effectively as a part of the team and have above average computer literacy and familiarity with Microsoft Office packages

Some duties of this position will include (but are not limited to):

  • Ensuring New Hire packages are completed accurately and submitted in a timely manner.
  • Verifying that all Field Tickets are approved, complete, processed on time, and sent to Calgary.
  • Ensuring all station-level purchase orders are coded in accordance with head office requirements.
  • Managing daily station-level payroll functions and ensuring they are processed within required cutoff timelines.
  • Maintaining station-level safety files in compliance with the requirements of the HSE Manager.
  • Managing hard copy and electronic filing systems in accordance with corporate policies and governance.
  • Maintaining strict confidentiality regarding all employee information.
  • Communicating openly and clearly with all managers and supervisors to offer support as needed.
  • Coordinating accommodations for operations staff as directed by Operations Management.
  • Arranging for professional housekeeping services as required.
  • Acting as the "Accommodation Clerk" for area company-sponsored housing, including tracking personnel usage, maintaining cleanliness, and ensuring the organization of all aspects of company housing in coordination with the Station Manager.
  • Assisting the Station Manager with review and analysis of the monthly Financial Reporting Package (FRP).
  • Performing other duties and projects as assigned by the Station Manager.

Requirements:

  • A certificate or diploma in an Office Administration program is considered an asset.

  • Minimum of two (2) years’ experience in a similar role.

  • Exceptional organizational skills with the ability to adapt to shifting priorities.

  • Positive, outgoing, and effective team player who contributes to a collaborative work environment.

  • Strong written and verbal communication skills. Intermediate proficiency in MS Outlook, Word, and Excel.
