Executive Assistant to the General Manager, Financial Services & Corporate Services

Wage Range Annually: $65,666 - $79,880

Position Status: Temporary full-time (until approximately June 17, 2026)

Work Hours per week: 35

Location: Cayuga, ON (Haldimand County Administration Building)

Position Summary

Reporting to two General Managers, this role provides confidential and proactive executive administrative support to both General Managers, and their respective Department management teams. The Executive Assistant ensures the smooth and efficient administration of both departments by coordinating and implementing consistent administrative processes and optimizing departmental performance and productivity.

Qualifications, Knowledge, and Skills

Education

  • Community College Diploma relative to the area of responsibility (for example, Office or Business Administration or Division specific program)

Experience

  • Over 1 year and including 2 years of current related experience.

Knowledge/Skills

  • Thorough understanding of municipal, corporate and divisional business administration procedures to recommend and/or undertake activities that increase efficiency of the departments
  • Good understanding of generally accepted accounting principles.
  • Valid Ontario Driver’s License and access to a reliable vehicle.
  • Excellent verbal and written communication skills with the ability to give, obtain, seek clarification, and/or exchange routine information.
  • Demonstrated initiative and ability to make decisions involving multiple routine tasks, affecting department level
  • Demonstrated ability to work independently referring only major problems to supervisors/managers.
  • Demonstrated ability to exercise significant discretion and sensitivity involving regular work with confidential information.
  • Proven ability to handle/process cash, valuable and/or issue receipts.
  • Demonstrated analytical and problem-solving skills involving occasional ingenuity, and minor refinement of procedures when necessary.
  • Demonstrated capability to provide orientation or technical guidance, as needed.
  • Organizational skills with considerable attention to detail to avoid errors and ability to meet deadlines.
  • Excellent interpersonal skills including the ability to work effectively in a team environment and guide interdisciplinary team-based discussions to increase staff morale, team building and team spirit.
  • Technology Aptitude
    • Demonstrated intermediate computer skills to utilize various technological devices and programs while adhering to cybersecurity and leading best practices.
    • Advance knowledge of MS Office (Word, Excel, Outlook, PowerPoint)
    • Computer proficiency in Adobe, Paramount, Budgeting Software (i.e., Questica)

Responsibilities

The incumbent is responsible for, but not limited to:

Corporate

  • Build and maintain relationships with internal and external contacts with an emphasis on building trust in the Departments and across the organization
  • Ensure effective communication that sustains the positive image of Haldimand

People

  • Work with General Manager/Director/Manager or Divisional staff to resolve issues related to the departmental business
  • Work with the public to resolve concerns and address inquiries related to the department
  • Communicate and coordinate with external stakeholders on behalf of the General Manager, Managers and Department
  • Work collaboratively with divisions responsible for corporate functions, to contribute ideas and information related to departmental improvement initiatives

Timeline

  • Review and monitor staff time entry submissions biweekly
  • Ensure departmental and divisional report forecast is regularly updated for SMT agenda review meetings
  • Review departmental reports and documents to be submitted for Council in Committee and Council meetings based on the approved Council schedule

Money/Asset

  • Assist with the development of departmental budgets (operating/capital), undertake or coordinate the preparation of relevant documentation, input budget data, analyze accounts and monitor approved budgets
  • Review and process invoices, journal entries, reconcile purchasing card accounts, and monitor monthly operating expenses
  • Prepare professional development reconciled reimbursement requests on behalf of General Manager and other departmental staff as assigned

Functional

  • Support
    • Update department content on the website
    • Assist in the recruitment and orientation process in accordance with non-union and union collective agreements and assist in off-boarding procedures for staff departures.
    • Keep appraised of all department and divisional issues to assist in internal and external communications including proactive Council follow-up
    • Plan, organize and coordinate the department’s annual events and workshops
    • Assist the EA to the CAO with the planning and organizing of the annual corporate staff event and other corporate events as required
    • Register staff for national and international conferences and workshops. Arrange travel, transportation and accommodation requirements
    • Resource to the department Administrative Assistants on corporate business, as applicable
    • Review and provide comments to General Managers on corporate and departmental policies
  • Reports
    • Research, prepare, review and coordinate draft reports, presentations, documentation for the department including those from external agencies such as the Consolidated Municipal Service Manager, where applicable
  • Record Management
    • Maintain records management for the Departments in compliance with corporate processes and document management structures.
  • Scheduling
    • Arrange and attend meetings and events on behalf of members of the Department acting as participant or when required, record minutes.
    • Ensure corporate calendars are up to date

Working Conditions
