The Ministry of Justice and Attorney General provides a fair justice system that upholds the law and protects the rights of all individuals in Saskatchewan; promotes safe and secure communities; and provides legal and justice policy advice to government.
The Courts and Community Justice Division is seeking a highly skilled Administrative Assistant, who is detail-oriented, organized, and a team player to provide support for Authentication Services.
This position will be responsible for:
- providing information and guidance to agencies and government affiliates, including the federal government, and court offices regarding program policies and procedures, and interpretation of legislation (i.e., The Hague Apostille Convention);
- clearly and accurately explain complex issues, policies, and procedures, referencing legislation and other program information to clients;
- reviewing and authenticating documents, verifying notary signatures and ensuring they meet the program requirements;
- handling sensitive documents with discretion;
- verifying, processing and tracking client invoices including issuing Apostille certificates;
- entering and reconciling payments received in person, by mail or over the telephone;
- monitoring administrative processes and making improvements to ensure optimum efficiency;
- purchasing and maintaining office supplies and equipment;
- respond to telephone and in person inquiries and receive and process incoming mail; and

Our candidate of choice will be an accountable self-starter and positive individual who has effective communication skills to provide efficient service to Saskatchewan citizens, and is able to independently assess and prioritize tasks while taking into consideration frequent interruptions and tight deadlines.
The successful candidate must demonstrate a solid understanding of office administrative procedures, applicable accounting practices, and computer hardware and software applications such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.) and Adobe Acrobat. In addition, they will have a demonstrated ability to take payments and perform reconciliations; interpret legislation; input, update, retrieve, format, and transmit data with accuracy and attention to detail; and build and maintain positive relationships with clients and other stakeholders.
Typically, the knowledge and experience required for this job is obtained through a post-secondary education program such as an office education diploma and relevant work experience or a combination of education and work experience.
