About the role

Status: Part-Time, Permanent Vacancies: One FTE: 0.3 (Twelve hours per week) Schedule: Flexible Location: Calgary Zone Work model: Primarily work from home The Calgary West Central Primary Care Network (CWC PCN) is a non-profit organization committed to a healthier future. As a Primary Care Network, we work alongside hundreds of family doctors (our members) to support the patient-doctor relationship and provide programs and services at no cost to doctor or patient. As the Events Coordinator, you’ll plan, coordinate, and execute engagement and educational activities for physician members. You’ll also support the planning and implementation of employee-related events, such as training workshops, webinars, and online meetings. This is a part-time position (twelve hours per week) with a flexible schedule. The hours of work will take place during business hours with the exception of some evening work for the events. The specific schedule can be determined with the hiring team during the recruitment process. This role is primarily a work-from-home position with occasional in-person responsibilities; therefore, the successful candidate must be located within the Calgary Zone or the surrounding area (e.g., Chestermere, Airdrie, etc.). Responsibilities Plan and coordinate various online and in-person opportunities for physician members, nurse practitioners (NPs), and team members. Liaise with primary care partners (e.g., AMA, ACFP, U of C, CPSA) and educational vendors to identify learning opportunities for physicians and NPs. Manage all educational and engagement event venue logistics and/or webinar software features. Create registration forms for events. Manage event budgets and ensure event resources stay within guidelines; work with the Finance team to ensure vendors are paid in a timely manner. Prepare and maintain the calendar of events and promotion schedule. Stay abreast of all physician and adult education best practices, guidelines, and physician college requirements. Create event workback schedules and collaborate with the Communications department to develop and execute communication plans while ensuring brand compliance and effective marketing. Draft promotional news items and invitation messaging; customize registration forms based on event requirements and capacities. Support ongoing monitoring and evaluation of educational and engagement events through data collection and analysis (e.g. surveys, evaluation forms, etc.). Provide regular reports on registration, attendance, and all relevant event information to key stakeholders. Attend and provide coordination and administrative support at educational and engagement events as needed (e.g., physician member sign-in, assistance with audio/visual, distribution of packages or resources, administration and collection of evaluation forms, etc.). Prepare attendance sign-in sheets, attendee name tags, and/or event material packages as needed. Order catering and coordinate with venues, ensuring selections are budget appropriate and event needs are met. Review contracts and invoices as needed to ensure accuracy. Education: A post-secondary diploma or certificate in project management and/or event planning is required. Education in adult learning principles is an asset. Experience: A minimum of two years’ experience in the following is required: Event planning or meeting coordination Customer service experience Hosting virtual events using applicable software Equivalencies of education and experience may be considered. Technical: Proficiency in the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams). Proficiency in survey software (Alchemer or similar). Proficiency in event-related software and equipment (A/V equipment, webinar software, registration form software). Background check: A clear Criminal Background check is required to start.
