About the role

Position Summary:

The Administrative Assistant for the Paper & Converting Departments provides critical support to the operations team by managing the hourly production scheduling, maintaining SAP and UKG system data, generating reports, and coordinating day-to-day administrative activities for the paper mill. This position ensures scheduling accuracy, smooth communication across departments, and efficient execution of administrative and production-related tasks.

Key Responsibilities:

  • Update and maintain hourly time schedules for the paper and converting staff, including shift coverage, vacations, back-fills, training assignments and adjustments within the UKG timekeeping system.
  • Maintain the unit master schedule in SAP and UKG (or similar systems), ensuring accuracy for materials, production runs, and personnel scheduling.
  • Perform SAP transactions to support production and material management activities, including data entry, schedule updates, inventorying tracking and order tracking.
  • Generate and distribute daily, weekly, and monthly reports on production metrics, crew utilization, downtime, and training for the paper and converting units.
  • Analyze production and scheduling data to identify trends and support problem-solving with operations leadership.
  • Provide administrative support including document preparation, data entry, correspondence, filing, project support, employee communications and maintaining accurate electronic and manual records.
  • Act as a liaison between operations, maintenance, HR/training, and supply chain teams to ensure scheduling and communication needs are met.
  • Demonstrate flexibility in working hours as needed to accommodate production scheduling or training requirements.

Qualifications:

* **Education:** Associate’s degree preferred (Business, Administration, or related field) or equivalent combination of education and relevant experience.
* Minimum 3 years of administrative experience in an office or manufacturing environment.
* Experience with production scheduling or workforce coordination is preferred.
* Proficiency in **Microsoft Office** (Word, Excel, PowerPoint, Outlook).
* Experience with **SAP** (or other ERP systems) and **UKG/Kronos** (or equivalent scheduling systems).
* Excellent written and verbal communication skills; ability to effectively collaborate with employees at all levels and across departments.
