Administrative Assistant (Hybrid) – Government of Alberta
Location Calgary or Edmonton, Alberta (Hybrid) Primary Office: 1240 Kensington Road NW, Calgary, AB Alternate Office: J.G. O'Donoghue Building, 7000 113 Street NW, Edmonton, AB Employment Type Contract Client Government of Alberta – Education and Childcare Industry Government Administration Department Education and Childcare Positions 2 Job Summary The Government of Alberta is seeking organized and detail-oriented Administrative Assistants to provide administrative and operational support to the Education and Childcare team. This hybrid contract role involves managing correspondence, maintaining records, processing documents, supporting office operations, and ensuring accurate handling of confidential information. The successful candidate will thrive in a fast-paced environment while delivering high-quality administrative support.
Key Responsibilities
Provide administrative support to program staff and management. Receive, sort, distribute, and process incoming and outgoing mail. Scan, file, route, and maintain physical and electronic documents. Maintain accurate records in accordance with established procedures. Prepare, review, track, and process documents requiring approvals and signatures. Perform data entry and electronic records management. Coordinate inter-office mail and courier deliveries. Monitor and replenish office supplies and administrative resources. Respond to routine inquiries and direct requests appropriately. Support application processing, verification activities, and documentation. Handle confidential information with discretion. Assist with special projects and additional administrative duties as assigned.
Requirements
Required Qualifications
High School Diploma or GED. Minimum 1 year of customer service and/or retail sales experience. Minimum 1 year working in a fast-paced environment. Minimum 1 year demonstrating strong analytical skills and attention to detail. Minimum 1 year prioritizing multiple tasks in a complex work environment. Strong communication and organizational skills. Proficiency with Microsoft Office applications. Ability to work independently and collaboratively.
Preferred Qualifications
Experience with records and document management. Experience in an Information Management environment. Government of Alberta or comparable public sector experience. Experience supporting projects across multiple technical environments. Administrative support experience.
Work Schedule
36.25 hours per week Monday to Friday 8:15 AM – 4:30 PM (Alberta Time) Hybrid schedule with 3–4 days per week in the office depending on team rotation.
Security Requirement
Successful candidates must complete: Level 2 Enhanced Security Screening Criminal Record Check Financial Management Risk Indicator Screening (FMRIS) Equipment The Government of Alberta will provide: Laptop System access and credentials Office workspace and supplies when working onsite Required Skills Administrative Support Customer Service Document Management Records Management Data Entry Microsoft Office Communication Skills Time Management Organizational Skills Attention to Detail Problem Solving Confidential Information Handling Task Prioritization Team Collaboration
