Position: Personnel Clerk
Number of Position(s): One (1)
Position Type: Full Time Non-unionized (35 Hours/Week: Monday to Friday) 8-week term
Language: English required. Bilingualism (English/ French) considered an asset.
Reports to: Human Resources Manager
PURPOSE
The Personnel Clerk is an 8-week term position on Ottawa Salus’ Human Resources team through the Canada Summer Jobs Program. Reporting to the Manager of Human Resources, this role supports the delivery of day-to-day HR functions and projects, including recruitment activities, HR systems and data management, and administrative processes to support effective and efficient HR service delivery across the organization.
RESPONSIBILITIES
The Personnel Clerk will support the Human Resources team in a variety of functions, including but not limited to:
Recruitment, Onboarding and Selection:
- Help organize recruitment activities, including pre-screening candidates and scheduling interviews
- Support onboarding activities to help create a positive employee experience
HR Projects and Data Management:
- Support various HR projects focused on optimizing digital platforms used by HR
- Conduct research, consult external sources, and integrate recommendations from stakeholders
- Track and monitor key performance indicators and HR metrics related to staffing, performance, and talent management
- Work with dashboards and data tools to track projects
Employee Records and HR Systems:
- Create and update employee files in the HR document management system
- Support digitization of files, ensuring accurate data entry and record transfers
Organizational Support and Initiatives:
- Support the development of HR materials and procedures
- Work with team members to shadow and learn about different roles within the organization
- Make recommendations for enhancements to HR processes
- Support organizational initiatives by contributing to projects led by Salus committees (e.g., DEI, Wellness, JHSC), helping to foster an inclusive and engaging workplace culture
General Duties:
- Complete other related tasks in a timely manner as required
QUALIFICATIONS
- Must meet eligibility requirements of the Canada Summer Jobs Program and Ottawa Salus pre-employment requirements
- Currently a post-secondary student or recent graduate in Human Resource Management, Business, Labour Relations, or a related field
KNOWLEDGE SKILLS AND ABILITIES
- Demonstrates a data-driven mindset
- Proficiency in Microsoft Office and SharePoint (Word, Excel, PowerPoint)
- Strong attention to detail and organizational skills
- Effective verbal and written communication skills
- Strong customer service skills
- Ability to take initiative and work independently
