We are looking for a motivated Marketing Administrator to join our team. This position will work closely with the Director, Client Solutions on national initiatives, providing exceptional administrative support to the team.
The Marketing Administrator will use expertise in administration to support the development and production of business reports, presentations, and other marketing materials.
This position will be located in Ottawa, ON.
Primary responsibilities include, but are not limited to:
Administration & Coordination
- Provide general administrative support, including coordinating meetings, preparing executive reports, meeting minutes, and documentation.
- Organize and maintain business development and marketing content libraries for national market sectors (one-pagers, presentations, client files, proposals, and project folders).
- Coordinate Bird representation at events to support national market sector development including attendee registration & logistics, manage marketing inventory to deliver the largest impact.
- Coordinate requests for corporate logo/branding approvals and facilitate communication with corporate marketing and communications teams.
- Support day-to-day coordination of tasks across Business Development, Operations, and Marketing teams.
- Assist with sales pipeline management using CRM (Microsoft Dynamics), including dashboards, reports, and data quality.
Market Research & Strategy
- Support in researching clients, competitors, partners, and industry trends to build knowledge hubs and support strategic decision-making.
- Support in developing frameworks for new market sectors and preparing business cases for events, partnerships, and growth opportunities.
- Monitor industry news, associations, and events to identify opportunities for networking, presenting, and awards.
Marketing & Communications
- Develop and review client- and sector-specific marketing materials, proposals, and presentations.
- Contribute to website content, social media, advertising, and internal communications for specific market sectors.
- Maintain consistency of brand and messaging by coordinating with corporate marketing/communications.
- Format and organize marketing collateral for internal and external use.
Event & Relationship Support
- Plan, organize, and support client, partner, and national account events (tradeshows, conferences, corporate functions, gifting, etc.).
- Manage event logistics: registration, travel, invitations/RSVPs, budgets, and post-event engagement strategies.
- Provide leadership opportunities for client networking.

Qualifications
- Post secondary education in marketing, administration or business related field
- Excellent writing skills (including editing, grammar, style, spelling punctuation), editing, and proofreading skills for accuracy, quality, and messaging tailored to target audiences
- Proficiency in Microsoft Office
- Experience using Adobe Creative Cloud, specifically, Adobe InDesign with proven ability to learn new software programs quickly
- Excellent time management & organizational skills
- Excellent interpersonal relations, with ability to gain trust and respect of others and build relationships
- Creative, strategic, forward-thinking mindset
- Ability to work in a team environment with minimal supervision
- Ability to calmly work under pressure and under minimal supervision in a deadline driven environment
