About the role
Lotus Group is proud to partner with a leading electrical and industrial services provider with operations across Western Canada to find an experienced Executive Assistant to support the President out of their head office in Calgary, AB . They deliver full-service solutions in electrical, instrumentation, automation, and modular construction, supporting clients in industries such as oil & gas, power generation, utilities, mining, and infrastructure development. This role can be either hybrid or remote, but the candidate must be based in Calgary to facilitate occasional in-person events or meetings.
The EA will provide high-level support to the President and one other executive, while managing key business operations with discretion and professionalism. This is a dynamic role requiring exceptional organizational skills, the ability to anticipate needs, and the maturity to act as a trusted confidant and strategic partner. The ideal candidate thrives in fast-paced environments, is polished and professional, and excels at managing shifting priorities with grace, discretion, and proactivity.
Role Responsibilities
- Serve as the primary gatekeeper for the executives, managing calendars, inboxes, and communications with efficiency and confidentiality.
- Coordinate and manage complex schedules, meetings, and high-volume calendars, ensuring effective time allocation and preparation of all materials in advance.
- Handle confidential and sensitive matters, including board discussions, personnel issues, financials, and business development initiatives.
- Organize domestic and international travel arrangements, including but not limited to flights, hotels, transportation, itineraries, and reservations.
- Draft, edit, and proofread correspondence, presentations, reports, and business documents with precision and professionalism.
- Track priorities, deadlines, and follow-ups, ensuring no detail is overlooked and executives remain unencumbered.
- Support internal and client events, including tournaments, conferences, and corporate functions.
- Manage both professional and personal organization needs (e.g., reservations, memberships, expenses, travel logistics).
- Serve as a liaison between executives and internal teams, clients, vendors, and external partners.
- Maintain secure and well-organized records and files related to company operations and confidential matters.
- Implement and maintain email management systems, ensuring inboxes are organized, urgent matters are elevated, and non-priority items are addressed.
- Provide daily and weekly task reviews via text and Microsoft task-sharing platforms.
- Support interdepartmental collaboration to ensure smooth and efficient daily workflows.
- Uphold company values by operating with loyalty, attention to detail, and an initiative-taking mindset.
- Aid with various company projects and processes as needed.
Role Requirements
- 5+ years of experience as an Executive Assistant, directly supporting C-suite or senior executives, required
- Degree, diploma, or certification in administration or relevant fields an asset
- Driver’s license and reliable vehicle required
- Based in Calgary, Alberta
- Advanced knowledge in Microsoft Office Suite, with a demonstrated ability to quickly adapt to and utilize company-specific systems and software
- Willingness and flexibility to work beyond standard business hours, recognizing that workload may vary with business demands and seasonal fluctuation
- Background in electrical, instrumentation, and industrial services contractor industries is an advantage.
- Previous experience supporting multiple businesses or subsidiaries strongly preferred.

Compensation will be determined based on the experience and qualifications of the successful candidate.
