Transportation Compliance Lead
About the role
Summary The Transportation Compliance Lead is responsible for the oversight, development, and continuous improvement of the company’s regulated transportation compliance program across the U.S. and Canada. This role ensures all commercial driving operations meet or exceed DOT, FMCSA, Transport Canada, and other applicable safety and regulatory standards. The position partners with operations, safety, HR, and technology teams to maintain a strong compliance culture, minimize risk, and drive operational excellence.
Schedule This position holds normal business hours with on-call responsibilities and up to 25% travel within the U.S. and Canada.
Duties & Responsibilities
- Ensure compliance with Certarus driving policies and all relevant local, state/provincial, and federal regulations (FMCSA, DOT, Transport Canada, PHMSA/Dangerous Goods)
- Oversee the renewal of permits, licenses, and registrations required for fleet operations, including IFTA and IRP/prorate accounts
- Act as the company’s technical expert on transportation regulations in the U.S. and Canada
- Maintain audit readiness and manage CSA BASIC compliance to sustain a satisfactory safety rating
- Submit DataQ challenges and other regulatory responses on behalf of the company as needed
- Represent the company during audits, inspections, and with regulatory agencies
- Support customer audits, insurance reviews, and external stakeholder engagement
- Design and standardize compliance procedures across all locations
- Oversee driver qualification (DQ) files, including pre-employment verification, license checks, MVRs, and physicals
- Ensure all new hires complete required DOT pre-employment requirements
- Gather and maintain onboarding driver files in internal compliance systems (e.g., DISA) and manage Samsara access
- Conduct regular audits of DQ files and hours of service (HOS)
- Monitor Samsara and other telematics platforms for distracted driving events, speeding, harsh braking, and fatigue
- Validate events and issue monthly safety and distracted driving reports
- Analyze driver and fleet data to identify top performers and drivers in need of coaching
- Provide monthly transportation performance reports and metrics to leadership
- Utilize data to identify trends, root causes, and recommend corrective actions
- Evaluate and deploy new safety technologies and telematics solutions to improve compliance and fleet safety
- Support driving-related incident investigations, ensuring timely follow-up and documentation
- Collaborate with maintenance teams to verify vehicle defect repairs noted in DVIRs
- Maintain the company’s commercial motor vehicle accident register
- Partner with HR, Safety, and Operations to develop, produce, and maintain DOT training content
- Support incident investigations, root cause analyses and corrective action planning
- Provide companywide communication on transportation statistics, compliance updates, and safety initiatives
- Work with Regional and Area Managers to drive accountability and continuous improvement in compliance
- Serve as a key member of the Joint Health & Safety Committee
- Oversee and mentor Transportation Compliance Coordinators
- Develop and deliver compliance and safety training for drivers and management, as needed
- Own KPI development, monitoring, and reporting for transportation compliance metrics
- Lead driver coaching programs and direct interventions for at-risk drivers
- Approve 14-hour variances for technicians and drivers where legally allowed
- Participate in provincial and state crash reviews
- Drive continuous improvement initiatives across compliance programs
- Handle other duties as assigned to support a safe, compliant, and efficient transportation program
Requirements
- Post-secondary education and/or relevant certifications/designations
- 5+ years in a Transportation Compliance, DOT Specialist, or Safety leadership role
- Strong knowledge of U.S. & Canadian regulations, including FMCSA, DOT, PHMSA, Transport Canada Dangerous Goods
- Experience with telematics systems (e.g., Samsara) and compliance management platforms
- Capable of working autonomously and collaboratively across departments
- Excellent data analysis, reporting, and communication skills
- Proficiency in Microsoft Office Suite and ability to quickly learn new systems
- Strong leadership, accountability, and problem-solving mindset
