An organized, detail-oriented, proactive, highly professional Executive Assistant/JP Scheduler is being sought to support the Supervising Justice of the Peace, Provincial Court of Saskatchewan. This position will plan and manage the Supervising Justice of the Peace’s day to day responsibilities and commitments and will be responsible for the scheduling of all Justice of the Peace assignments.

Responsibilities of the position include:

  • Reports to the Supervising Justice of the Peace (SJP).
  • Calendar Management: Scheduling and prioritizing meetings for the SJP.
  • Meeting Coordination: Plan and organize meetings including preparation of agendas, coordination with participants, and setting up virtual or in-person meetings.
  • Workload Management: Support the SJP in managing workload by prioritizing items for action, establishing deadlines, and determining necessary follow-up.
  • Communication and Correspondence: Serve as the main point of contact for the SJP handling and triaging calls, emails and mail. Draft, edit, review and circulate correspondence, reports and other documents as required.
  • Document Management: Establish processes for record retention and document retrieval.
  • Administrative Tasks: Handle routine administrative tasks to support the SJP.
  • JP Scheduling:
    • Develop, maintain and schedule judicial resources and appropriately manage “call-in” resources so that all scheduled assignments are covered.
    • Manage and maintain an electronic diary to ensure that all available court time is managed effectively and efficiently.
    • Provide appropriate notice to presiding justices of changes to the court schedule.

Qualifications, skills and abilities:

  • The expertise for this position has been acquired through a combination of a certificate/diploma in business education or its equivalent and several years experience in a senior government position or as a senior legal assistant in government or a private law office.
  • Excellent reading comprehension, verbal and written communication skills along with a high level of professionalism, diplomacy and discretion.
  • Trustworthiness and excellent judgment in handling confidential information.
  • Superior initiative and ability to work independently often while under pressure and while encountering multiple demands.
  • Knowledge of Provincial Court operations and procedures, legal terminology and the ability to understand legislation.
  • Understanding of the roles and responsibilities of Justices of the Peace and Provincial Court judges and their interrelationships with other justice system participants.
  • Familiarity and comfort with technology.

Appointment will be by Order in Council.
