About the role

What the role is all about:

Reporting directly to the Manager (PTC), you will be responsible for delivering exceptional experiences to all members, athletes and guests within our training facilities. Strong administrative and organizational abilities are required to oversee weekly scheduling, daily staff allocation, training coordination and support financial procurement and contract execution, enhancing overall business operations. A passion for leadership is leveraged in supervising all frontline staff, ensuring safe, welcoming, and efficient operations of the PTC and other indoor training environments.

We are looking to fill this position on a contract basis until approximately March 31st, 2026.

What you will be doing:

Business Administration, Systems & Contract Management

  • Support the PTC leadership team in advancing business objectives and executing key administrative and operational initiatives.
  • Oversee system governance, documentation control, financial reporting sales tracking and overall administrative workflows.
  • Lead system training, maintenance, updates and maintain strong product and program knowledge within the market.
  • Execute and administer contracts for sport training and facility use, ensuring timely and accurate delivery of all requirements.
  • Manage training service reconciliation, registered programs and membership administration.
  • Develop dashboards and performance reports, conduct data analysis and implement processes for data management and workflow efficiency.

Facility Operations & Stakeholder Engagement

  • Maintain consistent and professional standards across all training facilities.
  • Lead and support operational projects and maintain proactive, transparent communication with internal stakeholders and sport partners.
  • Collaborate with WinSport departments to meet operational requirements.

Leadership & Team Development

  • Provide leadership, supervision and mentorship to the Sport Services Team, fostering professional growth through coaching, performance feedback and development planning.

  • Align staffing levels with operational demand and budget targets; support scheduling, payroll and timekeeping processes.

  • Collaborate with Team & Culture on recruitment, selection and onboarding initiatives.

  • Monitor team performance and guest experience to drive continuous service improvement.

What you bring:

Required:

  • Post-secondary education in Business/Sport Management, Administration or a related discipline.
  • 2+ years of relevant experience, including 2+ years in a leadership role.
  • Standard First Aid Certificate

Preferred:

  • Experience working in a non-profit organization

Skills and Competencies:

  • Exceptional written and verbal communication, organizational and interpersonal skills.

  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with data analysis and reporting tools.

  • Self-motivated, high-performing and able to work independently with a positive and professional demeanor.

  • Demonstrated success building effective relationships across multiple departments.

  • Proven experience in coaching, mentoring and leading frontline teams.

  • Demonstrated ability to build effective relationships across departments and with.

  • Passion for sport and recreation.

Work Conditions:

  • Work Environment:

  • Primarily office-based, working in a professional, fast-paced environment.

    • Frequent use of computer systems, phones, and other standard office equipment.
    • Regular meetings and collaboration with internal and external stakeholders, in person or virtually.
  • Work Hours:

    • Generally full-time, Monday to Friday with potential evening and weekend work required
  • Physical Demands:

    • Predominantly sedentary, involving sitting for extended periods.

    • Requires frequent keyboarding, typing, and screen time.

    • Occasional lifting of materials or files up to approximately 10–15 pounds (e.g., boxes of documents, training materials).

    • May require walking throughout facilities or grounds

    • Ability to concentrate and pay close attention to detail for prolonged periods.

The Bill Warren Training Centre (BWTC) opened in January 1994. The facility provides fitness training and support services to Nordic athletes and the public. The BWTC is located at the Canmore Nordic Centre. It was the host site of the cross-country skiing and biathlon events at the 1988 Olympic Winter Games.
