We are seeking a highly organized and motivated coordinator to join our Enterprise Architecture (EA) team. If you aren't familiar with Enterprise Architecture, think of us as the "city planners" for the company's technology. We create the blueprints and strategies that ensure all our IT systems, software, and data align with business goals, run securely, and work together efficiently. As a vital member of this global team, you will play a crucial role in supporting our operational activities, with a primary focus on facilitating and managing our core EA governance Touchpoints (the review boards where we assess and approve new technology initiatives). This is an exciting opportunity for an administrative professional who is passionate about technology, eager to learn, and interested in driving smooth operational workflows and project management within an enterprise IT environment.

This role is hybrid (2-3 days/week in the office) - based in Toronto, ON.

Responsibilities:

  • EA Touchpoint Administration: Coordinate, schedule, and facilitate essential governance Touchpoints, including the Architecture Review Board (ARB), Investment Review Board (IRB), and Go-Live reviews. Manage Touchpoint calendars, prepare meeting agendas, capture detailed minutes, and distribute materials to stakeholders in a timely manner.
  • Action Item & Governance Tracking: Diligently follow up on tasks, deliverables, and architectural conditions assigned during ARB, IRB, and other Touchpoint reviews. Ensure stakeholders meet their deadlines and that architectural initiatives stay on track.
  • Documentation & Reporting: Assist in creating, organizing, and maintaining documentation related to team processes, architectural standards, and Touchpoint statuses within the team's repository.
  • Data Gathering & Preparation: Collaborate with cross-functional teams to gather, format, and analyze data required for portfolio reviews, operational reporting, and team metrics leading up to key governance meetings.
  • Resource Coordination: Support the coordination of team activities, training schedules, and internal communications, acting as a central point of contact for administrative inquiries related to EA governance processes.
  • Continuous Improvement: Participate in continuous improvement of our Touchpoint workflows, helping to streamline intake forms, reporting templates, and communication channels.

Qualifications:

  • Currently studying or having a degree or diploma in Office Management, Office Administration, Project Management, Business Administration, Communications, Management Information Systems (MIS), Liberal Arts, or a related field (or equivalent practical experience in administrative or PMO roles).
  • Relevant project management or administrative certifications, such as a Certified Associate in Project Management (CAPM) or a Google Project Management Certificate, are highly desirable.
  • Strong organizational, time-management, and problem-solving skills with a proven ability to manage multiple moving parts.
  • Excellent communication, presentation, and interpersonal skills to effectively chase updates, confidently interact with stakeholders, and facilitate governance meetings.
  • High proficiency in Google Workspace (Google Docs, Sheets, Slides, Drive, and Meet) for daily collaboration, tracking, and reporting.
  • Familiarity with collaboration and project management tools (e.g., Jira, Confluence, Asana).
  • Detail-oriented with a strict focus on accuracy and quality in reporting and meeting documentation.
  • Basic understanding of IT governance, Enterprise Architecture principles, or project lifecycle phases is a strong plus, but not required.
  • Highly motivated and eager to learn and grow in a dynamic and fast-paced environment.

  • 4 months internship : May 4, 2026 - August 28, 2026 (extension possible)
  • In order to be considered for the position, you are required to submit your Knockri Assessment.

Salary Range: $25/hour - $28/hour CAD
