What You’ll Do

As a Senior Fleet Coordinator, the primary responsibility is to monitor and analyze Calmont’s lease fleet to develop and implement cost effective asset management and maintenance strategies, while maintaining a safe and reliable fleet. This will include the procurement of vehicles, utilization management, as well as disposals and sales lot management. Some of the job duties include, but are not limited to:
- Understands and promotes the Company’s mission statement, values, and strategic goals.
- Understands and adheres to Company standards, policies, procedures, and practices.
- Maintains effective working relationships and communications with other company departments and personnel.
- Foster the team environment and create a “group culture”.
- Proactively promotes through example a safe work ethic, attitude, and workplace. Ensures safety policies, standards, and procedures are established and followed to achieve a safe work environment and safety for all staff, customers, and visitors as well as the company’s safe work objectives and requirements.
- Drive and maintain a high level of efficiency and productivity.
- Actively seek and keep abreast of all relevant industry/ occupational knowledge, changes and potential opportunities through the pursuit and participation of training, industry specific literature, industry, trade or professional specific associations and education.
- Develop and maintain competent “product” knowledge of all current products offered at Calmont.
- Monitor and analyze ongoing market activities against Calmont’s yearly targets.
- Develop and maintain adequate systems and procedures to track fleet usage and provide a measure of efficiency as it relates to maintenance.
- Projects long and short-term forecasts ensuring correct product availability is maintained.
- Ensures that equipment, yard and units are maintained as per Calmont policy and practice.
- Acts as the catalyst to improve performance of the branch by streamlining internal processes and drive consistency.
- Overall management of maintenance of the LD rental fleet, including chargebacks to customers and internal maintenance costs.
- Assign rental units to orders and distribute to locations.
- Coordinate with the service department to ensure that units are finished in a timely manner and are completed within a deadline.
- Audit of rental inventory daily to ensure the availability of the LD fleet is accurate and accounted for.
- Monitor and distribute fleet utilization reports
- Identify financial improvement and revenue growth opportunities.
- Complete special projects and perform other duties as assigned.
- Provide coding instructions for repairs and service required on rental check overs
- Track incoming units and provide rig up schedule
- Review body shop estimates and determine with the Sales and Leasing Manger if the repairs are completed or sold as is.
- Work with the rental manager and sales manager to determine if units will be ready to be retired from the rental fleet.
- Work with outside vendors for rig ups, this includes monitoring pricing with invoices.
- Assist the sales team in locating units in the rental fleet to meet the specific needs of leasing customers.
- Inform the sales team on units being retired out of the rental fleet
- Auditing the lot check against the list of available units in each rental location.
- Coordination of telematics for the rental fleet, creation, closing, and monitoring of accounts.
- Reconciliation of telematics accounts for billing purposes
What We’re Looking For
- High school diploma or equivalent; post-secondary education preferred.
- Minimum of 2 years hands on fleet management and operations experience.
- Previous profit and loss and budgetary responsibility.
- Knowledge of the supplier market, how to price, spec, and purchase vehicles.
- Knowledge of used-vehicle market, including wholesale, and auction markets.
- Valid class 5 Driver's License
- Standard First Aid/CPR Certificate an asset
- WHMIS an asset
- Understands finance and accounting as it pertains to the acquisition (purchase or lease) of vehicles, and their accounting on the balance sheet.
- Effective interpersonal and communication skills in order to work with wide number of people, including peers, subordinates, and other company departments and staff.
- Strong customer service attitude and leadership to ensure customer expectations are exceeded.
- Effective negotiation, persuasion, and listening skills to facilitate successful resolution of concerns.
