NATURE OF WORK

The position of Administrative Officer encompasses the performance of various management, administrative and technical tasks for the office of the Secretary General.

As part of the Administrative Officer’s duties, they may assist professionals and senior staff.

CHARACTERISTIC FUNCTIONS

Working closely with and supporting the Secretary General, the Administrative Officer is generally expected to:

  • Contribute, upon request, to the consultative process for developing the objectives, strategies, and budget of the School Board dealing with administrative unit to which the incumbent belongs, and where applicable, collaborate with other staff members in dealing with the annual plan.

  • Participate, upon request, in developing and updating the administrative policies, systems, standards and procedures related to his or her sector of activity.

  • Ensures that CSB administrative standards are aligned with the standards and expectations of the Secretary General department.

  • Support, as required, the Managers of the school board by providing them with pertinent information.

  • Provide advice and problem-solving in areas relating to staff, planning, and relationships within the department; assist in staff management.

  • Implement and maintain efficient up-to-date systems, tools and procedures, including document and file management, specifically Corporate and administrative standards that respond to the needs of the department while supporting the overall organization.

  • Works in close collaboration with the Secretary General in preparing meetings and identifying and classifying Agenda items for Corporate meetings and required follow up thereof.

  • Applies or adapts management techniques to the delivery of specific administrative activities and current operations.

  • Carries out technical analyses of accounts and reports and authorizes expenses relating to Secretary General for amounts within signing authority.

  • Participate in other projects and files requested by Secretary General.

  • Supervises and oversees the activities of the support staff of Secretary General, in the absence of the Secretary General.

  • May be required to train less experienced technicians as well as coordinate the work of support staff in performing duties related to the implementation of programs involving technical operations for which he is responsible.

  • If need be, performs any other related duty.

REQUIRED QUALIFICATIONS

Hold a Diploma of College Studies in Business Administration with an option appropriate for the class of employment or a diploma or an attestation of studies recognized as equivalent by the competent authority.

Have 3 years of relevant experience.

Have an advanced knowledge of office automation.

English and Cree are required.

Ability to travel.

Annual Holiday must be scheduled outside the Schedule of Regular Meetings
