Clerk, Office Services and Facilities - Part time
About the role
Location : Quebec Office - 100 % on site
Schedule: 8:00 a.m. to 1:00 p.m. – 25 hours/week
Norton Rose Fulbright is seeking a part-time Interior Services and Facilities Attendant.
This versatile role combines responsibilities related to the business center, reception, and internal catering services.
Position Summary
Through the various tasks assigned, the incumbent will consistently prioritize top-tier service quality for both clients and firm members.
Business Center Clerk
- Provide occasional support to the business center, including reprography, document preparation and binding, mail handling, scanning, etc.;
- Participate in internal office moves and workstation setups;
- Provide coverage for reception and catering services during breaks, absences, or vacations;
- Perform various administrative tasks (e.g., bank deposits, mail delivery).
Reception
- Greet visitors and clients in a professional and welcoming manner;
- Answer phone calls and emails, forward messages;
- Manage deliveries and mail received at reception;
- Confirm boardroom bookings.
Internal Catering Services
- Set up conference rooms (tables, chairs, AV equipment for videoconferencing, refreshments, coffee breaks, etc.);
- Coordinate specific needs with assistants for meeting room bookings;
- Order and serve meals and beverages during meetings and events;
- Provide service to professionals during meetings or events;
- Coordinate major events organized by the firm with support from the marketing team;
- Support committees in planning activities (e.g., student recruitment events, summer BBQ, employee appreciation week);
- Prepare social events such as happy hours for professionals;
- Regularly inspect coffee stations and refrigerators in common areas to ensure cleanliness, functionality, and proper stocking;
- Maintain cleanliness and order in the staff break room.
Job Requirements
- High school diploma (Secondary V)
- Minimum of 2 years of experience in reprography and customer service or hospitality
- Strong proficiency in Microsoft Office; comfortable with audiovisual tools and room booking software (EMS, Korbyt or equivalent)
- Excellent interpersonal and communication skills
- Strong ability to collaborate with team members
- Very good command of written and spoken French; English is an asset
- Organizational skills, autonomy, discretion, professionalism, and diplomacy
- Good physical condition (frequent movement, furniture handling)
- Flexibility to work overtime on short notice
- First aid certification or willingness to complete training (an asset)
- Availability to work outside regular hours when required
