Reporting to the Director, Community and Continuing Education, the Manager, Continuing Education (CE), will be responsible for leading the administrative direction and daily operations of Continuing Education. Responsibilities include, but are not limited to, planning, organizing, and managing operational resources, systems and processes.
The Manager will identify and analyze operational challenges and problems; and recommend and implement evidence-informed goal-oriented solutions. This role will also provide leadership in the implementation of program and course leads.
NATURE & SCOPE**:**
- The Manager, Continuing Education works closely with the CE staff on all campuses, other College departments, including academic schools, and partners and students to maximize the smooth and efficient operation of Continuing Education.
- This role is responsible for the successful development, operation, and evaluation of the administrative responsibilities of the department.
- The Manager provides operational leadership on a proactive and consultative basis both within the College and with external stakeholders and partners.
- This position is responsible for the effective coordination of all Continuing Education operations, services and systems.
- This role provides leadership and supervision to operational and contract staff.
- You will be part of a team actively engaged in contributing to and accomplishing the vision, mission, and goals of the College and in supporting the aspirations and needs of our learners.
- You will promote a positive work atmosphere by interacting and communicating in a professional manner that demonstrates mutual respect with students and colleagues.
Specific Duties
- Provide leadership and direction in all operational and administrative activities.
- Develop, implement, manage, analyze and evaluate CE systems and processes for Continuing Education operations across the college.
- Proactively act as a resource to department and College management and staff on CE systems issues.
- Manage and supervise CE operational staff, including hiring, training, providing direction, assignment of work, probationary and performance reviews, and disciplinary action.
- In collaboration with the Director tor develops the annual revenue and expenditure budget for Continuing Education.
- Administer and monitor approved contracts and budgets; prepare annual budget recommendations.
- Perform analysis of past and present financial data and performance.
- Develop and implement standardized templates and processes for contracts, budgets, financial tracking, forecasts, and costing.
- Provides leadership to CE for budgeting and costing for contracts, courses, programs, and funding applications.
- Produces financial reports for internal and external stakeholders.
- In consultation with the Director contributes to the development and implementation of CE’s department plans.
- Prepares departmental reports on financial performance and other operational issues and key performance indicators.
- Proactively and effectively solve problems relating to CE processes, procedures, and systems.
- Ensure all College policies, procedures, and collective agreements are adhered to.
- Develop, maintain and encourage positive communication strategies via formal and informal mechanisms.
- Manage contracts and funder relationships, ensuring contract requirements are met and that relationships with funders remain positive.
- Manage complex and integrated reporting (financial, statistical and narrative) requirements including establishing and implementing timelines; and ensuring appropriate data is collected, entered and communicated in the necessary formats.
- Encourage a climate of excellence, responsibility and accountability by facilitating staff professional development activities, supporting and monitoring performance, ensuring program and service guidelines and outcomes are met, and recognizing contributions and achievements.
- Monitor for and ensure quality in all activities within CCE and bring to the attention of the Director areas for improvement.
- Develop and maintain positive communications as related to Continuing Education activities.
- Participate in relevant internal and external committees related to Continuing Education.
- Act as a liaison and communicate among CE and other relevant staff, departments and campus leaders to provide coordinated and effective services.
- Participate in labour negotiations as required by the College.
- Perform other duties as assigned by the Director.
Skills & Qualifications
- A Bachelor’s degree in a relevant field – Education or Business Administration preferred
- 5 years’ experience with progressively increased level of responsibility in operational and/or business management, with at least 3 years leading and supervising a team.
- An equivalent combination of education and experience may be considered.
- Demonstrated skill in developing and analyzing contracts.
- Experience managing employees in a large, unionized work environment.
- Working knowledge of post-secondary systems, policy and processes is strongly preferred.
- Commitment to excellent student/participant experience and institutional integrity.
- Broad understanding of program and service accountability framework.
- Demonstrated strong oral and written communication skills.
- Ability to manage conflict and change in ways that contribute to the long-term viability of operations and maintain productive relationships.
- Excellent, proven organizational skills.
- Excellent interpersonal skills and proven critical thinking skills in complex and fast-paced situations.
- Demonstrated operational and collaborative leadership abilities.
- Articulated management philosophy that is in alignment with the guiding principles.
- Proficient in appropriate technological applications including word-processing, spread sheet and database construction and application.
- Knowledge and appreciation of Aboriginal culture and history within communities.
