Operations Program Lead
Reporting to the Senior Director, Operations (YVR), we are seeking a highly organized and self-driven Operations Program Lead to elevate operational performance through BI-driven reporting and practical process improvements. This role oversees key administrative functions, including minute-taking, event planning, operational scheduling, and support for operational initiatives. The position collaborates across teams to ensure smooth day-to-day operations while contributing to strategic priorities across the organization.
Responsibilities
- Provides administrative support to the Operational leadership team
- Operational Reporting & BI: Collect, organize, and report operational information using Excel and BI tools to enable timely updates, decisions, and continuous improvement.
- Minute-Taking: Attend meetings and accurately capture minutes, ensuring all action items, decisions, and key points are documented and communicated in a timely and clear manner.
- Event Planning & Coordination: Take the lead in organizing and coordinating company events, training sessions, team-building activities, and other internal/external events, handling logistics, scheduling, vendor coordination, and event follow-ups.
- Support for Administrative Projects & Process Improvement: Lead or assist in projects with various departments that enhance office efficiency, employee satisfaction, and overall team performance, including identifying gaps and implementing process improvements.
- Confidentiality & Compliance: Handle sensitive company and employee information with discretion and confidentiality, ensuring compliance with company policies and legal requirements across all administrative functions.
- Cross-Departmental Coordination: Provide administrative support to various departments as needed, ensuring efficient communication and handling of urgent administrative requests.
Qualifications
- Exceptional skillset in Excel, other BI tools experience is considered an asset
- Proven experience in an administrative or support role, with at least 3+ years of experience in project coordination, office management, or event planning.
- Strong organizational and multitasking skills with the ability to prioritize tasks effectively and manage multiple projects simultaneously.
- Exceptional written and verbal communication skills, with a focus on building relationships and ensuring smooth communication across teams and departments.
- Experience in event management.
- Ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
- Proficient in using inventory management systems.
- High level of discretion and confidentiality.

Salary: $65,000 - $75,000
