Reporting to the Director, Operations, the Administrative Assistant provides day-to-day business support and administrative services to both the ground and air operations teams. This role is responsible for ensuring that inquiries and general administrative matters are addressed in a timely, professional, and appropriate manner.
By delivering efficient and proactive administrative support, the Administrative Assistant enables the Directors to focus on monitoring and evaluating provincial operations. As part of a collaborative team, this position contributes to enhancing ambulance services and improving patient and stakeholder experiences across the province.
Responsibilities include:
- Type correspondence, memos, confidential reports, minutes, and agendas. May compose replies for general correspondence on behalf of the operations team.
- Proofread transcribed correspondence for grammatical accuracy, sentence structure and content. Determine the appropriate communication tool to send correspondence (i.e., courier, mail, e-mail, or fax).
- Act as the first point of contact for incoming calls, screening stakeholder inquiries and redirecting or documenting messages for the appropriate director.
- Assist in the development of presentation materials using desktop technology.
- Create, organize information and format information into excel for data collection.
- Organize and coordinate travel arrangements, meeting facilities, coordinate educational course coordination and compile monthly expense claim forms.
- Take minutes for meetings.
- Order and maintain stationery, office supplies, etc., following approved purchasing guidelines.
- Compile and organize data for analysis and reporting.
- Receive and prioritize incoming phone messages, e-mails, faxes, mail, couriers etc. for the team.
- Maintain the team’s filing system and keep an accurate record of correspondence, reports, and training records.
- Reconcile Visa statements.
- Participate in government audit as required.
Professional Qualifications & Competencies:
- Post-secondary education in office administration or equivalent combination of experience and education.
- Minimum three years related experience working in an office environment, preferably with experience in the health care industry.
- Strong computer skills with proficiency in Microsoft Office Suites of Products.
- Excellent keyboarding skills.
- Knowledge of medical terminology an asset.
- Able to work well under pressure, often under strict time deadlines.
- Effective listening skills and the ability to follow instructions.
- Exercise good judgment and decision-making skills.
- Well, organized with the ability to prioritize workload.
- Initiative-taking collaborator and able to work independently.
- Excellent typing and proof-reading skills with high diligence.
- Excellent communication skills both oral and written.
The Base Pay range may vary depending on the successful candidate or other relevant job-related factors such as knowledge, skills, qualifications, experience and education/training. In addition to Base Pay, eligible Medavie employees may participate in various performance-based incentive programs. Payments under these programs are discretionary and subject to both individual and organizational results.
