Your Opportunity

As an Information Management (IM) Coordinator, you will play a key role in supporting the successful delivery of projects and operation of the department by working closely with Project Managers and engineering teams. You will be responsible for managing project documentation, setting up and administering collaboration platforms and systems, and interfacing with project team members internal and external to Stantec. You will provide day-to-day operational support as well as education, guidance, and advice on IM best practices. This is a dynamic role for someone who thrives in a fast-paced, collaborative environment and is passionate about contributing to a wide range of impactful projects and other initiatives.

Your Key Responsibilities

  • Collaborate with Project Managers and multidisciplinary engineering teams to support project execution.
  • Develop and maintain IM standard operating procedures (SOPs) and workflows to support consistent and compliant information practices at project and/or organizational level.
  • Develop tools and workflows to support efficient transmittal, retrieval and management of project files, data or other information (including use of automations) to suit project needs.
  • Manage all aspects of document control, including transmittals, tracking QC processes, tracking submissions, maintaining version control, and organizing project files.
  • Guide project teams in working according to IM requirements.
  • Set up and administer collaboration / document management platforms.
  • Support the preparation of project deliverables and submission packages.
  • Track Requests for Information (RFIs), responses, and team inputs.
  • Ensure compliance with internal project management frameworks and client requirements.
  • Facilitate communication between internal teams and external stakeholders.
  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Excellent communication skills, both written and verbal.
  • Detail-oriented with a proactive approach to problem-solving.
  • Skilled in coordinating across multidisciplinary teams and managing complex documentation workflows.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook), Microsoft Power Platform, and collaboration / document management software (SharePoint, ProjectWise, Autodesk Construction Cloud, etc.).
  • Experience with document control systems and construction administration processes.
  • Familiarity with Ontario AFP and P3 procurement processes is a plus.
  • Understanding of engineering terminology is an asset.

Education and Experience

  • Bachelor’s degree in Information Management, Engineering, or a related field.
  • Minimum 10 years of experience in information management coordination or project management support roles.

Typical office environment working with computers and remaining sedentary for long periods of time. Field work may include exposure to the elements including inclement weather.
