We are looking for a highly motivated, enthusiastic team player to join our Cookstown**, Ontario Dealership** as a Sales Coordinator. This is a Full Time, regularposition.

Sales Coordinator / Administrator – Support the Sales Department with administrative tasks, inventory orders, dealership systems, social media updates, and internal communications. Assist with lead tracking, sales events, and off-site shows. Seeking a detail-oriented, organized professional who thrives in a fast-paced, customer-focused environment.

Key Responsibilities:

Order Administration & Inventory Management

  • Coordinate and process stocking inventory orders, including:
    • Preliminary order setup and approvals
    • Communication with manufacturers and dealership flooring provider
    • Specification and price management
    • Final order confirmations and invoice approvals
  • Update exchange rates, using FW POS system, for unit orders as required.
  • Liaise with the Service Department to address and track repairs for all in-stock inventory.
  • Maintain accurate electronic and physical files for both on-order and in-stock units using dealership systems and POS software.
  • Execute and administer the inventory pricing strategy set by Sales Managers.
  • Create, maintain and update Social Media posting and pricing. You will lead such activities to drive leads to dealership.

Sales & Lead Management Support

  • Track and reconcile dealer spiffs and sales policy approvals with monthly manufacturer statements.

  • Manage sales department documentation (electronic and paper files) with a high level of accuracy and confidentiality.

  • Coordinate all service estimates requiring Sales Manager approval.

  • Administer the Footsteps Lead Management System:

    • Input and update customer leads
    • Ensure consistency between daily traffic logs and CRM entries
  • Monitor CSI feedback, follow up on HOT and WOW customer responses, and ensure sales staff is informed.

  • Update internal tools such as the WOW Board, Hot Alerts, and Previously Used Board.

  • Create new postings that features specials, promote products using videos and other promotional items on various Social Media channels

Marketing & Website Administration

  • Coordinate the supply of advertising details to the Marketing Department.
  • Manage unit listings on the company website, including:
    • Uploading photos
    • Ensuring accurate unit specifications
    • Monitoring and updating web pricing
  • Replenish brochures and point-of-purchase materials in a timely manner.

Scheduling & Staffing Support

  • Create and update sales staff work schedules 60 days in advance under the guidance of Sales Management.
  • Provide reception coverage during lunch and coffee breaks, as needed.
  • Assist in opening or closing the dealership occasionally in support of Sales Manager schedules.

Event & Show Planning

  • Support the planning and execution of off-site sales events and RV shows, working closely with Sales Managers and Inventory Support.
  • Coordinate event logistics, including materials, staffing, unit transportation, and promotional items.
  • Maintain event checklists, timelines, and ensure compliance with brand guidelines.
  • Assist in post-event reporting and lead capture reconciliation.

Other Duties

  • Perform any other duties as directed by Sales Managers in support of the dealership’s operations and sales success.

Qualifications:

  • High school diploma or equivalent; post-secondary education in business, administration, or a related field is a plus.

  • 2+ years of administrative or sales support experience, preferably in the RV, automotive, or recreational products industry.

  • Proficiency in IDS (G2) or similar dealership management software. (recommend we remove)

  • Strong computer skills, including Microsoft Office Suite and CRM platforms.

  • Excellent organizational skills with high attention to detail.

  • Strong written and verbal communication abilities.

  • Highly proficient in using and posting content on Social Media with a keen understanding of business ethics and FW values when creating content

  • Ability to multitask, prioritize, and meet deadlines in a dynamic environment.

  • Team player with a proactive attitude and strong problem-solving skills.
