About the role
Job Overview We are seeking a detail-oriented and proactive Administrative Assistant to join our team. This role is essential in supporting operations and ensuring efficient office management. The ideal candidate will possess strong organizational skills, excellent customer service abilities, and familiarity with various office software, including QuickBooks and Google Suite. Experience working with sensitive and confidentiality information either in a financial services (i.e., broker dealer, CPA, RIA etc.) or in legal services preferred.
Duties
- Manage front desk operations, greeting visitors and handling inquiries with professionalism.
- Provide exceptional customer service to clients and patients, addressing their needs promptly and courteously.
- Maintain accurate filing systems for client records and administrative documents.
- Operate phone systems to manage incoming calls and messages effectively.
- Assist in scheduling appointments and managing calendars for team members.
- Perform proofreading of documents to ensure accuracy and professionalism in all communications.
- Collaborate with team members to support various administrative tasks as needed.
Qualifications
- Proficiency in QuickBooks and Google Suite is highly desirable.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Excellent customer service skills with a friendly demeanor.
- Ability to operate phone systems effectively and manage communications professionally.
- Strong attention to detail, particularly in proofreading and document management.
- A proactive approach to problem-solving and the ability to work independently as well as part of a team.
