About the role
Position Information:
The Day Receptionist/Medical Secretary will perform all duties associated with the registration of clients requiring services in inpatient and outpatient areas. Schedule appointments using information and data that is provided.
Essential Job Functions:

Responsible for the accurate and concise collection of information during the registration process. Including, patient demographics, insurance, next of kin, providers of care and hospital location for the inpatient, outpatient and emergency visits.

Process client transfers and bed assignment as directed. Preparation of inpatient and outpatient charts for upcoming admissions and visits.

Manage referrals from physicians, community agencies, hospitals, and self-referrals; triage urgent cases to appropriate services and provide status updates to referral sources.

File reports and test results into appropriate file or attach to client charts as needed.

Correctly and accurately schedule and book appointments in keeping with processes and established criteria and scheduling requirements. Process requests for appointment changes, rescheduling and cancellations at the request of the resource.

Contact clients regarding appointments regarding changes in appointments.

Produce lists, make adjustments and provide to clinics offices.
-
Receive incoming telephone calls, answer several telephone lines; direct calls as appropriate.

Greet and direct clients and visitors to appropriate destinations.

Communicate with physician’s offices, inter hospital departments, the public and various outside agencies.
-
Locate staff using the phone tree and email to advise of calls or messages.
-
Place calls on behalf of staff and physicians. Facilitate communication between clients, visitors, staff, and community agencies, both in person and by phone.

Call in staff as needed and advise of sick calls, cancelling appointments as required.

Logging and assigning of all housekeeping related work requests (ie: spills, linen, supplies, etc.).

Monitoring of clean and dirty bed availability.
-
Assist with mail, fax, and document distribution, and provide back-up for Wellness Centre codes and security functions.

Collaborate with other departments and external partners to ensure efficient, coordinated service delivery

Perform additional duties as assigned by the Director of Mental Health & Addictions or delegate
Qualifications:
-
Ontario Secondary School Diploma or equivalent is required
-
Medical Terminology Required
-
Previous hospital experience an asset
-
Previous registration/switchboard experience an asset
-
Previous recent office experience
-
Proven problem-solving skills with the ability to multi-task
-
Strong attention to detail
-
Excellent interpersonal and verbal communication skills with physicians, patients and visitors with high regard to public relations
-
Computer skills are mandatory
-
Ability to work unsupervised
-
Satisfactory vulnerable person’s sector criminal background check.

Internal candidates must have satisfactory attendance and performance appraisal in current position.

Documented commitment to continuing education through inservice, staff meetings and self-motivated learning.
