Job Overview Livewire Energy Services is seeking a proactive, highly organized Executive Assistant to provide executive-level administrative and operational support to the CEO and COO. This on-site role is critical to ensuring the smooth day-to-day functioning of the office, supporting leadership priorities, and keeping projects and internal operations on track.

The ideal candidate is detail-oriented, dependable, and comfortable managing multiple priorities. This role includes executive support, scheduling, accounts payable and receivable coordination, HR administration, information tracking and data entry, light marketing support, and general office management.

This is an excellent opportunity for someone looking to grow their executive support and coordination skills in a fast-paced, evolving organization.

Key Responsibilities

  • Provide high-level administrative support to the CEO and COO, including calendar management, correspondence, and task coordination
  • Support day-to-day office operations, ensuring systems, files, and processes are organized and maintained
  • Track information and input data accurately across internal systems, reports, and project documentation
  • Assist with invoicing, payment tracking, and reconciliations
  • Support maintenance of accurate employee records and HR documentation
  • Schedule labor resources and coordinate staff availability with project timelines
  • Track project hours and support job costing and reporting
  • Support HR and office processes such as onboarding, personnel file management, and employee inquiries
  • Manage office supplies, vendor coordination, and general office organization
  • Assist with basic marketing activities, including posting content on Instagram and LinkedIn
  • Support project coordination by organizing documentation and tracking progress
  • Other duties as assigned

Knowledge, Skills And Abilities

  • Minimum 2 years of executive-level administrative experience in an office environment
  • Diploma or degree in Business Administration or a related field is considered an asset
  • Proficiency in Microsoft Office 365 and Windows 11
  • Strong attention to detail with the ability to manage and prioritize multiple tasks effectively
  • Excellent organizational, written, and verbal communication skills
  • Strong information tracking and data entry capabilities
  • Self-motivated, dependable, and able to work independently in a fast-paced environment
