Your Opportunity The Office of the Faculty Registrar works closely with departments and colleges regarding all matters relating to Arts & Science students. We are dedicated to making the A&S student experience as smooth and seamless as possible. We coordinate and administer a variety of services and programming to support students including managing student records, transfer credits, final examinations and graduation. As part of the Welcome Services team you will play a key role in helping current and perspective students navigate these services and other student services at the University by responding to student queries by email, over the phone and face‐to‐face.
This position will report into the Associate Director, Welcome Services.
Your Responsibilities Will Include
- Acting as the first point of contact for general enquiries
- Responding to enquiries within the defined scope of the role and redirecting as appropriate
- Coordinating drop-in appointments to ensure urgent situations are given priority
- Providing detailed information regarding admission requirements to prospective students and applicants
- Updating and maintaining database records
- Applying established file retention standards in data administration activities
- Providing basic support and general referrals to individuals in distress
Essential Qualifications
- Bachelor's Degree or acceptable combination of equivalent experience.
- Minimum two years of recent and related experience with student front line student-services and working with students in a University environment.
- Experience providing information regarding admissions, fees, transfer credits, graduation, enrolment and other student related issues to current and perspective students.
- Experience with the University's undergraduate programs, procedures, guidelines and program offerings, along with demonstrated knowledge of Faculty of Arts and Science policies and procedures.
- Experience working in a Registrar’s Office.
- Experience with the University's undergraduate programs, procedures, guidelines and program offerings, or other related post-secondary student program.
- Experience using the Student Advising Service, Slate, and ROSI.
- Experience preparingroutine correspondence.
- Experience working with databases, researching and interpreting data and preparing reports.
- Experience maintaining student records and files
- Advanced proficiency with MS Office Suite.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills. Must be welcoming and professional, able to deal with sometimes difficult and/or demanding individuals.
- Strong organizational skills. Ability to handle multiple inquiries simultaneously, prioritize work, and work under pressure.
- Ability to exercise tact, judgment and diplomacy especially when dealing with confidential information or complaints.
