Job Description

The Facilities Manager is responsible for the operation, maintenance, safety, and continuous improvement of building facilities. This person ensures the reliable performance of building systems, oversees service providers and contracts, manages emergency interventions, and maintains a safe, functional, and welcoming work environment for the colleagues. The incumbent aligns operational actions with organizational and individual objectives, acts as an advisor and influencer in a collaborative setting, contributes to team strategy and objectives, and fosters an inclusive and respectful workplace.

Responsibilities

  • Plan and execute preventive and corrective maintenance of building systems

  • Coordinate technical interventions and ensure proper documentation

  • Identify, prioritize, and manage general building repair work

  • Perform or supervise minor adjustment, repair, and installation tasks

  • Monitor critical systems and respond promptly to anomalies

  • Administer real estate service contracts and coordinate external maintenance providers

  • Oversee daily and periodic janitorial services in collaboration with internal resources

  • Schedule specialized maintenance activities and manage required supplies

  • Plan and supervise seasonal work, including manual and mechanical snow removal

  • Contribute to planning and delivery of improvement, expansion, and building planning optimization projects

  • Coordinate vendors, contractors, timelines, and project deliverables

  • Ensure compliance with budgets, standards, and schedules

  • Manage internal moves, space reconfigurations, and furniture relocations

  • Oversee procurement, inventory, and condition of furniture and equipment

  • Coordinate regulatory inspections, pest control, and sanitation services

  • Supervise waste management, recycling, composting, and hazardous materials handling

  • Maintain and apply emergency response measures to ensure effective incident management.

  • Manage building access, keys, passwords, and access control systems

  • Respond to and manage all facility-related service requests.

Qualifications

  • Minimum of five years’ experience in a similar role in building operations or facilities management
  • Proven experience managing service providers, contractors, and maintenance contracts
  • DEP or DEC in property management, or equivalent experience
  • Strong ability to plan, prioritize, and manage multiple interventions and projects
  • Solid knowledge of building systems (HVAC, plumbing, basic electrical, automatic doors)
  • High level of organization, autonomy, and attention to detail
  • Basic budget tracking and cost control skills
  • Strong written and verbal communication skills (French)
  • Knowledge of health and safety standards (asset).

Conditions

  • 20 hours per week: 4 hours per day (ideally from 7:00 a.m. to 11:00 a.m.)

  • 100% on-site position.
