Axonify is seeking a highly motivated and experienced Workplace Experience Coordinator to join our People & Culture team. Reporting to the Director, Total Rewards & Operations, you will be responsible for creating and maintaining a seamless and engaging environment for all Axonifiers.

This role manages the Axonify Headquarters office space in Waterloo, balancing a multitude of priorities to ensure the smooth and efficient operation of the Office. The Workplace Experience Coordinator aims to create and implement an unforgettable experience for our in-office Axonifiers, looking at everything we do through the lens of fostering inclusion and belonging in the workplace.

The impact you'll have:

Office Management

  • Managing and reporting on office capacity through Robin Powered (Tool)
  • Act as the main point of contact and coordinate all vendor relationships for pest control, sanitization, cleaning, indoor mat cleaning, coffee, snack supplies, fire extinguishers, carpet and chair cleaners, window cleaners, waste removal, shred bins, HVAC
  • Daily walk-through check of the office to ensure safety and maintenance is reviewed
  • Proactively coordinating with Building Services on issues with cleaning, HVAC, lighting etc. to ensure any operational, janitorial issues are resolved quickly
  • Plan and maintain beverages and snacks with in set budgetMaintain seating design and prepare desks for designated or hotel seating arrangements
  • Update office décor as appropriate, such as for special events
  • Maintenance of office space, ensuring they are well-stocked, clutter free, and welcoming; including light cleaning duties of common areas
  • Collaborate with cross-functional teams, including IT, to ensure workplace policies and programs are executed and aligned with business objectives

Office safety

  • Act as on-site First Aid attendant or find backup when not available
  • Act as on-site health and safety SME and make recommendations to ensure a safe workplace
  • Participate in Health & Safety Committee

Office administration

  • Will provide confidential, executive admin support to the senior leadership team with expense reporting.
  • Provide and manage office supplies to employees Coordinate logistics for virtual status Axonifiers who are visiting the office as needed, including hotel details and transportation between airport and hotel
  • Manage main phone line Front office management and reception, including visitor sign-in, tours, mail management, and all other shipping/receiving
  • Provide administrative support to the Employee Recognition Program
  • Tracking and processing office experience expenses

Event Management

  • Execution of company lunches and departments as needed for event coordination
  • Support execution of various employee events as part of the Employee Experience Team
  • Facilitation of in office social initiatives including all related internal communications
  • Collect data to measure the effectiveness of in office events

Employee Experience

  • Assist with employee onboarding processes
  • Contribute to the design and execution of office-based employee experience initiatives
  • Support execution of various employee programs
  • Participate in planning year-round employee experience strategies

And of course, other duties to support Axonify and further build your skills

The things you bring:

  • 2+ years of direct experience in facilities/office management
  • Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
  • Excellent time management skills and ability to multi-task and prioritize work
  • Knowledge of office administrator responsibilities, systems and procedures
  • Advance knowledge in MS Word, Excel, Outlook and PowerPoint is a must, along with strong analytical abilities
  • Demonstrated problem-solving techniques and initiative to finding solutions
  • Must be extremely organized, work well under deadlines and have excellent verbal and written communication skills
  • A creative mind with an ability to suggest improvements and strong attention to detail

Physical Requirement

  • While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and ability to operate a computer, and keyboard
  • Regular lifting, moving, and storing of inventory up to 20lbs is required
  • Occasional assistance in moving furniture to support event setup will be required in this role
