About the role

PURPOSE OF THE JOB:

The Project Administrator is a key team member of the Operations Group, providing administrative support to our Project Management Team. Tis position can include a wide array of tasks including but not limited to ERP support, project launch and setup, report generation, project requisitions, liaison with other departments, forecasting assistance and special projects as required.

PRIMARY RESPONSIBILITIES:

  • Assist Project Management with project setup once Purchase Orders are received. This includes Sales Orders, Project Set Up and Budget Entry into ERP for multiple sites.
  • Assist Project Management with facilitation of Change Orders.
  • Qualitative Analysis of project bookings (Labour and Warehouse material transactions) to ensure accuracy of costing.
  • Setting up purchase requisitions for approval in ERP as required for OEM's.
  • Prepares reports for Project Management validation.
  • Prepares forecasting reports (ETCs) in ERP, for Project Management validation.
  • Assist with compiling and maintaining project documents as required.
  • Liaison with Materials Planning and Procurement for materials expediting as required.
  • Liaison with Finance Department for Project Milestone billings as required;
  • Participates in all related meetings as required. This includes all relevant weekly production meetings, project management department meetings and project lineside review meetings.
  • Report generation for Head of Project Management as required.
  • Project Coordination of projects or initiatives, as assigned by the Head of Project Management as required.
  • Create project planning files in MS Project and make available to the Project Managers.
  • Maintain key milestone dates within MS Project in collaboration with Project Managers.
  • Close projects with MS Project.
  • Collaborate with Finance to close projects within ERP.

PHYSICAL DEMANDS:

  • Work is performed in an office-like environment with occasional trips to the assembly floor:
  • Hearing acuity required for safety reasons while on the assembly/manufacturing floor
  • Exposure to high noise volumes from machines operating nearby during visits to the assembly floor
  • Must adhere to PPE policies at all times
  • Work requires extended periods sitting down or standing up depending on the particular tasks of the day.
  • Works with computer for prolonged periods of time.

KNOWLEDGE AND SKILLS REQUIRED:

  • 3 - 5 years financial accounting experience working within ERP
  • ERP experience with Visual 9/10 considered an asset
  • Previous experience in project coordination is considered an asset
  • Strong knowledge of MS office suite: PowerPoint, Excel, Word, Project and 365
  • Experience with design software (AutoCAD, Inventor) is considered an asset
  • Excellent analytical, synthesis and problem-solving skills
  • Well organized, detail oriented, focus is a must
  • Ability to communicate with and influence different levels of management
