Position Description

Reporting to the Senior Paediatric Business Operations Manager, you will be working with the core paediatric residency training program team to organize and coordinate the administration and operations of the educational activities related to the Residency Program in the Department of Paediatrics.

You will work with the Residency Training Program Director to develop a shared vision and strategic direction related to education activities. The Education Administrative Coordinator is the key resource person for faculty and residents participating in the core paediatrics residency educational program.

Here's What You'll Get to Do

  • Ensure the educational portfolio continues to provide consistent excellence in the academic training of future Health Care Practitioners
  • Working with the team to coordinate the educational portfolio for the core paediatric residency program
  • Provide a solid understanding of the paediatric residency program offered through the department of postgraduate medical education and act as an integral contact to coordinate and facilitate the residency program.
  • Coordinate, train and mentor peers
  • Develop curricular materials and information packages and provide ongoing coordination in the development, planning and organization of new course curriculums, materials and expectations
  • Collaborate with internal and external partners to coordinate activities within the department and to ensure the paediatric residency education portfolio meets the needs and objectives of the Program, SickKids as well as the PGME Office at the University of Toronto
  • Assist with the paperwork flow of the recruitment process and liaise with residents throughout the selection process before their arrival and during their training at SickKids, including offer letters, credentialing, hire forms, visa, termination, leave of absences, etc.
  • Plan and organize the academic teaching efforts for the faculty as well as all levels of the residency program. Provide support to the chief fellow, senior resident with academic schedules. As well as working with the Faculty Lead for assessments on resident rotation schedules
  • Collect and input database information relevant to profiling educational activity of faculty, residents and learners
  • Manage all aspects of the evaluation process; creating and disseminating detailed schedules and curriculums for all levels of residents and evaluative feedback to the faculty and competence committees
  • Assist in the development and implementation of an integrated evaluation strategy for all projects. Where applicable, this will include the adjustment of evaluation forms, the distribution and collection of these forms, the timely collation of the results, and feedback on the individual evaluations to the speakers
  • Provide and ensure an internal and external source of knowledge and coordination of the section/ portfolio - both within the organization (internal) and with external partners
  • Supervise and be responsible for the development, maintenance (update and review) of website content related to the residency program for the education portfolio including CaRMS, University of Toronto, SickKids, U of T Portals, POWER and SharePoint
  • Participate in and lead meetings related to the education portfolio and act as a central resource. Organize, attend and take minutes; distribute agendas and minutes for monthly meetings; and report to Committees as appropriate on administrative processes related to the Residency Program
  • Organize guest speakers, visiting lectureships. Plan and coordinate symposiums and conferences while keeping within budgets and timelines
  • Assist in the development and timely production of required reports
  • Prepare and maintain timetables for each educational initiative; arrange room bookings & AV; produce/distribute course materials & schedules; and manage record keeping and faculty development initiatives
  • Provides cross coverage to other Education Coordinators in the Residency Program (including management of the PD's calendar and travel arrangements)
  • Draft correspondence and respond to various requests related to the residency program
  • Be responsible for other financial tasks such as resident reimbursements for educational activities, distribution of honorariums and resident conference funding
  • You'll play a vital role in supporting the assessment process for medical trainees - responsibilities will include:

oProctoring and administering written and practical exams, ensuring a smooth and secure testing environment.

oCoordinating and facilitating OSCEs (Objective Structured Clinical Examinations), including setup, scheduling, collating scores, and on-site support.

oOrganizing and supporting Mock Oral exams, working closely with faculty and candidates to simulate real-world assessment scenarios.

oManaging STACERs (Standardized Training Assessment for Clinical Evaluation Reports), including logistics, documentation, and follow-up.

oCollaborating with faculty, residents, and administrative staff to ensure assessments are delivered efficiently and meet accreditation standards.

oMaintaining accurate records and providing timely communication to all stakeholders involved in the examination process.

Here's What You'll Need

  • Completion of a post-secondary degree or an equivalent combination of education and experience
  • Several years of related experience within a teaching hospital or university setting or comparable educational environment
  • Solid working knowledge of Microsoft Word, Excel, PowerPoint, Outlook, OneDrive and SharePoint Programs
  • Experience in QUALTRICS & POWER required
  • Accurate keyboarding skills, dicta, and experience in recording and transcribing minutes
  • Exceptional interpersonal and communication skills, both verbal and written
  • Self-motivation and the ability to take the initiative
  • Demonstrated excellence in organizing and prioritizing workflow
  • Ability to solve problems independently and make sound independent judgments on sensitive matters
  • Ability to work independently and participate as a collaborative team member
  • Demonstrated commitment and actions in advancing equity, diversity, and inclusion objectives

Employment Type:

  • Temporary full-time, 15-month contract
  • 35 hours per week
  • We offer a flexible hybrid working model. Working Monday to Friday 1-3 days onsite and 2-4 days from home. Dependent on the needs of the division and the program.
