Job Summary
The Department of Psychiatry is a large, complex clinical and academic department that provides patient care, delivers education and conducts research in the area of psychiatric illness and treatment. The department is an administrative unit of three separate institutions: Dalhousie University, Faculty of Medicine, the Central Zone of Nova Scotia Health (NSH) and IWK Health. Reporting to Operations Manager, the Graduate Education Coordinator is responsible for providing administrative support to the graduate programs of the Department of Psychiatry, coordinate the MSc and PhD in Psychiatry Research programs and the Global Master’s in Clinical Psychiatry program.
Key Responsibilities

Serve as the primary contact and resource for students, staff, faculty, and leadership for the programs supported. Advise faculty and students on program policies, procedures, and regulations.

Provide administrative support to program coordinators in the programs supported.

Manage the application process, including receipt, organization, and responding to inquiries. Support the Graduate Program Committee by preparing admissions and review materials (e.g. GPA calculations, transcript summaries, CVs, letters).

Administer scholarship payments; advise the COO on stipend budgeting.

Update the academic course calendar and timetable to reflect changes and offerings. Coordinate teaching schedules and room bookings for department courses.

Coordinate the department’s research events including Research Day and the annual public event. This includes budget coordination, promotions, arranging travel for speakers, organize venue and catering, etc.
Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.
Required Qualifications

Business/Administrative Professionals program with three years’ experience in a related role.

Advanced proficiency in Microsoft Word, Excel, Outlook, PowerPoint, Teams, and SharePoint with the ability to quickly learn new academic software.

Strong interpersonal and customer service skills; thrives in team-based settings.
-
Excellent written and verbal communication skills.
-
High attention to detail and accuracy, with exceptional organizational skills; able to multitask and meet deadlines.

Proven discretion and sound judgment with confidential information
