Administrator, Recycling Programs - Remote
About the role
OVERVIEW
Reporting to the Program Manager, Research & Innovation, the Program Coordinator will be responsible for providing high-level administrative support to the Program Manager. This includes, but is not limited to, managing and coordinating a variety of administrative tasks, project management, and maintaining the operational support systems and procedures that ensure the smooth functioning of the Sustainable, Packaging, Research & Innovation team.
RESPONSIBILITIES

Assist in scheduling meetings (virtual or in-person), preparing agendas, capturing minutes, and following up on action items to ensure timely completion.

Support the development and maintenance of project plans, timelines, and documentation under the direction of the Program Manager.

Assist with the preparation of presentations, reports, and departmental updates, ensuring accuracy, clarity, and consistency.

Conduct research on industry-related topics as assigned, providing insights to support projects, presentations, and strategic initiatives.

Provide support and review documents as required for completeness prior to distribution and filing as needed.

Coordinate the handling of contentious and critical issues by analyzing situations, facilitating communication, and ensuring timely and effective responses.

Collaborate with internal and external stakeholders to monitor and drive completion of action items on various projects.

Manage confidential and sensitive information with discretion, supporting department in decision-making and strategic planning processes.

Provide flexible support to team members and other groups within Sustainable Packaging, Research & Innovation team, based on evolving priorities and departmental needs.

Perform additional administrative tasks and responsibilities as assigned to support departmental operations.
QUALIFICATIONS
Education
- Diploma or Degree in Business Administration, Communications, Project Management, or related major.
Experience
- 2+ years’ experience in a project coordination or administrative support role.
- Experience working in a complex, multi-project environment is critical to be successful in this role.
- Proven ability to manage multiple priorities in a fast-paced, multi-project setting.
- Demonstrated success in coordinating meetings, preparing communications, and managing sensitive information.
Knowledge/Competencies/Skills

Strong understanding of office administration and departmental operations

Proficient in leveraging a range of productivity and collaboration tools, including the full Outlook suite for communication and scheduling, PowerPoint for impactful presentations, and JIRA for efficient project tracking. Highly comfortable using Microsoft Teams to facilitate seamless team collaboration and stakeholder engagement.

Awareness of organizational policies, compliance requirements, and confidentiality standards

Excellent analytical, conceptual thinking, planning, and execution skills.

Proactive, self-led stakeholder communications and outreach is a must.

Possess client management skills with a passion for building effective customer relationships and exceeding partner expectations.
WORKING CONDITIONS

All CM employees work 40 hours per week, remotely from a home office environment.

The job demands that the incumbent have a flexible work schedule with periods of uneven workload.

The incumbent has tolerance for change as Circular Materials implements its new program obligations.

The incumbent must attend in-person meetings when requested.
PAY TRANSPARENCY
Expected Compensation:

An annual base salary in the range of $50,000 to $65,000
The salary range listed complies with the Ontario Employment Standards Act and reflects a potential base salary range for this role. The actual salary offered will be determined within the range, and will depend on factors, such as the candidate’s unique qualifications, relevant experience, work location and expected contributions.
