THE ROLE

The Warehouse Operations Administrator/Coordinator plays a key role in supporting warehouse and facilities operations by managing administrative tasks, assisting with scheduling and reporting, coordinating activities across teams, and maintaining accurate records. This role also performs light warehouse duties when required to support operational continuity. The position contributes to operational consistency and supports decision-making through timely information, organized documentation, and strong coordination

DUTIES & RESPONSIBILITIES

Administrative & Coordination Support

  • Provide administrative support to the Senior Manager – Operations, including scheduling, tracking action items, preparing meeting materials, and organizing documentation.
  • Assist warehouse managers and leads with administrative tasks that support daily operations.
  • Act as a central contact for internal operational inquiries and route information to the appropriate team members.
  • Support the coordination of meetings, training sessions, and operational initiatives across all warehouse locations.

Warehouse Operations Support

  • Assist with data entry, reporting, and maintenance of operational records (e.g., receiving logs, shipment records, inventory adjustments, safety documentation).
  • Track warehouse KPIs and help prepare monthly scorecards and performance summaries.
  • Support continuous improvement activities by gathering information, tracking progress, and documenting updates from operations teams.
  • Ensure accuracy and completeness of documentation related to warehouse activities, including Warehouse SOP’s, customer service requests, vendor information, and internal forms.
  • Help coordinate equipment maintenance schedules, inspections, and related documentation.

Facilities Management & Vendor Coordination

  • Assist in coordinating facilities-related administrative tasks for warehouse locations (e.g., maintenance requests, repairs, inspections).
  • Serve as a point of contact for facility vendors and contractors, ensuring work orders are logged, scheduled, tracked, and completed.
  • Maintain records of facility service agreements, maintenance logs, and vendor performance.
  • Support the organization of quotes, approvals, and purchase requisitions related to facilities maintenance and repairs.
  • Coordinate scheduling and site access for contractors performing onsite work.
  • Track routine facility upkeep activities such as cleaning, waste removal, landscaping, and equipment servicing.

Light Warehouse Duties (As Needed)

  • Assist with basic warehouse tasks during high-volume periods, staff absences, or urgent operational needs.
  • Perform light picking, packing, labeling, or staging of materials as directed.
  • Support cycle counts or inventory checks with warehouse leads.
  • Help maintain a clean, organized, and safe warehouse environment.
  • Adhere to all safety policies and procedures while performing warehouse tasks.

Communication, Ticket Management & Information Handling

  • Oversee and manage the operational support ticket system, prioritizing and resolving issues in a timely manner.
  • Maintain organized digital files and communication logs to support operational transparency.
  • Support cross-regional communication by consolidating updates and distributing information to warehouse teams.
  • Prepare presentations, memos, and internal communications for the operations department.

General Administrative Responsibilities

  • Assist with meeting coordination, onboarding and required administrative tasks for new warehouse hires.
  • Help manage AP approvals, supplies ordering, and vendor/contractor coordination for warehouse needs.
  • Support compliance processes by ensuring required forms, signatures, and documentation are collected and stored appropriately.

Requirements

QUALIFICATIONS

  • 1–3 years of administrative, coordination, warehouse, or facilities support experience preferred.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and comfort working with ERP systems.
  • Strong attention to detail and accuracy.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Willingness to support occasional physical tasks within safe lifting guidelines.
