Job Summary
The Registrar’s Office (RO) is a large, multi-unit, multi-site operation involved in the entire academic experience of Dalhousie students. Reporting to the Coordinator, Enrolment Service Hubs the Service Representative acts as the first point of contact for students with the Registrar’s Office.
Key Responsibilities
-
Assist and advise students, faculty and staff, in person, via email, phone and chat on a wide range of university and academic regulations, policies, procedures, deadlines, fees, student aid programs (assess and respond to inquiries, complaints, concerns).

Intake, process and distribute a variety of documents and transaction forms with appropriate explanations. Verify and authorize completed forms and documents.

Assist previous and current Dalhousie students and students with letters of permission from external institution with enrolment; verify all letters of permission forms for Dalhousie students as well as process requests for transcripts, letters of confirmation.

Collect fees and process Registrar’s Office deposits, ensuring accuracy of the amount received.

Support students with registration policies, procedures and deadlines and registered students after online eligibility ends.

Guide students on the self-serve tools available to them in Dal Online.

Provide additional administrative support as required.
Note
Due to operational requirements, the successful applicant is required to work in-person on campus.
Required Qualifications
-
Business/Office Administration diploma with three to five years’ related experience (or an equivalent combination of training and experience).

Proficient communication, interpersonal, organization, and time management skills.
-
Demonstrated analytical skills, with attention to detail and accuracy.
-
Proven ability to author clear, organized documentation.
-
Demonstrated experience using Microsoft Office applications, including Word, Excel, and Outlook.
Assets
-
Undergraduate degree.
-
Knowledge of the Ellucian Banner software package and academic regulations.
-
Experience working in a Registrar’s Office.
