Team Leader - Sample Reception Team Lead As a Team Leader, your responsibilities are:
- Delegate and coordinate work to Sample Reception staff. Coordinate with the evening shift staff of Pre-Processing, Organic and Inorganic Processing labs.
- Provide productivity status report to Manager whenever called upon.
- Assist Customer Service, Sales and Laboratory staff with inquiries related to department.
- Manage Sample Reception KPIs.
- Order/Buy office supplies.
- Assist in the working of Sample Reception in the absence of the Supervisor, including approval of time sheets and conduct the biweekly health and safety tailgate meetings, and write up near misses.
- Write and update SOP and WI.
- Coordinate the receipt, inspection and handling of the hazardous samples.
- Train new Sample Reception staff.
Receiving
- Make sure COCs ice and promotional material are provided for customers in the 24 hr drop off room.
- Check the lockers in the morning and remove any samples inside.
- Ensure counter, ramp, dock and areas surrounding Sample Reception is clean.
- Daily calibration of thermometers before usage
- Make sure the customer counters are kept clean at all times.
- Greet internal and external customers in a pleasant manner and provide prompt customer service.
- Ensure COCs are completely filled out upon arrival.
- Make sure all submissions are received and prioritized to ensure holding times and turn-around times.
- Understand analytical requests and their accompanying guidelines.
- Make sure no samples are left behind in the shipping dock.
- Ensure proper procedures are followed for legal samples.
- Notify QA and appropriate lab areas of the arrival of their samples and interlab transfers.
- Make sure any remaining samples from the previous day are removed from the fridge and processed the next morning. Count, record and dispose of empty returned bottle orders after clarification that they can indeed be disposed off.
- Coordinate removal of samples from the SR fume hood and disposal at Archiving
- Coordinate removal of returned containers with Archiving.
- Hold time prioritizations.
- Ensure schedules for receiving, cleaning and training are adhered to, daily.
- Ensure all COCs are received in the SR Website in a timely manner and by end of day.
Inspection
- Unpack samples and organize them on the inspection tables according to COC.
- Ensure samples are properly bar-coded to ensure accuracy and quality of work.
- Promptly store samples in their designated locations to maintain sample integrity.
- Make sure jobs are inspected in priority order, and accurately.
- Ensure daily random QC checks of jobs are carried out.
- Recognize or question submissions that contain or are suspected of containing hazardous substances for proper WHMIS labeling.
- Seek the assistance of experienced personnel when unsure on how to treat a specific submission.
- Identify and create SIFs when required.
- Create jobs in LIMS.
- Monitor inspection in the Sample Reception Website in priority.
- Scan all COC and attachments.
- Ensure timely scanning of samples into the fridge, and delivery of microbiology samples to the micro lab.
- Maintain the work area as clean and organized as possible in order to prevent contamination and accidents.
- Separate ice packs; remove packaging material and broken glass before coolers are brought to the warehouse.
- Dispose broken glass in the provided glass recycling boxes or marked boxes, not in the regular garbage receptacle.
- Keep the sink in Bottle Prep area and cooler storage room clean and organized at all times.
Other Responsibilities
- Follow SOPs and Work Instructions.
- Make sure training folders are up to date.
- Proactively escalate issues related to Website/production/facilities to Supervisor and concerned staff.
- Ensure Compliant Pro readings are up to date.
- Notify Team Leads of other departments and Manager of any problems.
- Daily follow up on e-mail.
- Develop a collaborative relationship with all of the organization’s personnel to ensure the high standards demanded of the clients.
- Assist in creating a pleasant and harmonious team working environment and take accountability for actions taken.
- Adhere to the safety protocols established by the organization
- Be proactive in the identification of possible improvements concerning quality and effectiveness of the processes.
- Participate in regular team meetings.
- Communicate any information of importance on the board/via e-mail for the next shift.
- Help investigate LIMS/inspection-related problems of inspected samples
- Ensure Customer Service-related supplies are stocked up and available to serve.
- Help monitor hazardous samples in the SR fume hood.
- Communicate any information of importance to Manager, Supervisors and Team Leads.
You are an ideal Team Leader, if you have [Minimum Requirements]:
- High school diploma
- 3 to 5 years of experience in specific environment
- Experience in a laboratory environment is considered an asset
- Excellent leadership, communication skills (both written and verbal), organizational skills and detailed oriented
- Energetic personality who can work independently and as a team in a multi-tasking, fast-paced environment
- Ability to effectively interact with colleagues and provide coaching and mentoring when needed
- Strong customer service skills
- Ability to lift 40lbs
- Fully trained and certified in all aspects of handling, offering for transport and transporting of dangerous goods as outlined in the Canadian Transportation of Dangerous Goods (TDG) Act and Regulations. Training must be compliant with all means of transport used by Bureau Veritas Analytics
- Good computer skills (e.g. MS Excel®, MS Outlook®, MaxxLIMS)
