Maintenance Administrator & Dispatcher (Full-Time)

Join our team in a dynamic role where no two days are the same! You’ll be at the heart of operations, keeping our vehicles, drivers, and customers moving smoothly. This role blends administrative, dispatch, and maintenance support responsibilities, providing variety and opportunities to make a real impact.
What You’ll Do:
- Assign and monitor vehicles and drivers to ensure safe, efficient service
- Manage schedules, coordinate trips, and respond to service requests in real-time
- Receive client calls, assist with bookings, answer inquiries, and provide friendly, helpful support in person, by phone, or online
- Communicate cancellations, changes, and updates between drivers, maintenance, and operations teams
- Oversee parts inventory, perform cycle and annual counts
- Order parts and consumables as needed
- Generate and receive purchase orders, process returns, and maintain & stock parts areas
- Coordinate outside services in cooperation with mechanics and support day-to-day maintenance work orders
- Track daily trip sheets, mileage, fuel entries, and other operational data
- Record customer feedback, complaints, and compliments; maintain accurate records
- Maintain an organized, clean front office, performing general administrative tasks such as filing, data entry, and office supply management
What We’re Looking For:
- Occasional weekend assistance may be required based on business needs
- Strong customer service and interpersonal skills with a friendly, service-first attitude
- Excellent verbal and written communication skills
- Solid problem-solving, decision-making, and attention to detail
- Quick learner, organized, and able to manage multiple tasks effectively
- Proficient with Microsoft Office (Outlook, Word, Excel) and comfortable using computers; intermediate Excel skills preferred
- Reliable team player who works well independently
- Employment contingent upon a favorable background check
Bonus Points:
- Knowledge of Fort St. John or local routes
- Previous dispatch or customer-facing experience
- Technical knowledge of automotive services or transportation operations
- Formal education in Office Administration
