Position Summary…

The Account Analyst is a key support and liaison role within the Finance Department, responsible for reviewing, processing and reconciling invoices, submitting funding claims, and supporting period-end accrual functions as part of the financial reporting process. This position works closely with the individual locations and external vendors to ensure timely and accurate submissions.

Ministry Reporting Support

  • Manage the monthly and quarterly reporting process for funding programs, including collecting invoices, organizing claim information from individual homes, submitting and monitoring claims with the ministry
  • Review payment notices and reconcile with outstanding claims
  • Perform GL reconciliation of claims and prepare journal entries as required
  • Post monthly GL entries
  • Prepare semi-annual summary reports for ministry reporting
  • Assist with scheduling
  • Provide training on claim processes

Agency Management

  • Review shift punches daily to ensure correct funding allocation
  • Review invoices to match hours/costs to internal schedules and contracts
  • Communicate with vendors to resolve discrepancies
  • Maintain shift tracking processes
  • Code invoices and process for payment
  • Review monthly costs and communicate with homes on any variances
  • Maintain detailed records to support internal and external reporting and cost analysis
  • Conduct semi-annual reviews of vendor statements

Other

  • All other duties/projects as assigned

What you bring....

  • Experience in accounts payable processes and reconciliations
  • Ability to problem-solve and investigate issues independently
  • Effectively communicate with internal and external individuals when discrepancies arise
  • Candidate must be very detail-oriented with strong organizational skills
  • Candidate must have strong computer skills and intermediate experience with Microsoft 365 applications
  • Familiarity with timekeeping/scheduling software systems is an advantage, but not required

This position is located at our Head Office in Woodstock, ON. This is a part-time position of 3 days/week (or equivalent hours). There are flexible work options available – remote, hybrid, or in-office. Salary will be commensurate with experience and qualifications.
