We’re looking for a highly adaptable Executive Assistant with startup experience to support our CEO and leadership team while ensuring smooth office operations. What You’ll Do
Executive Support

Liaise between the CEO and internal/external stakeholders filtering, prioritizing, and managing communications with discretion

Own the CEO’s calendar and inbox: scheduling across time zones, anticipating conflicts, and ensuring follow-through

Prepare, manage, and maintain all correspondence, reports, and presentations for the CEO, ensuring accuracy, clarity, and alignment with the organization's goals for both internal and external stakeholders

Organize and coordinate all Board-related activities, including scheduling meetings, drafting agendas, preparing and distributing presentation materials, and capturing comprehensive and precise meeting minutes

Plan and coordinate all aspects of domestic and international travel with adaptability for last-minute changes

Track and reconcile expenses for the CEO and leadership team promptly and accurately

Support public relations efforts with key stakeholders and partners by preparing follow-up communications, contributing to relationship-building, and assisting in cultivating long-term strategic partnerships that further our organizational objectives

Provide executive-level administrative support to other Senior Leadership team members as needed, demonstrating flexibility, initiative, and commitment to organizational success
Office Operations

As the first point of contact, oversee the day-to-day operations of our Kanata office creating a friendly, functional environment for employees and guests

Maintain office supplies and manage inventory efficiently

Organize meetings and internal events, handling logistics end-to-end

Coordinate facility needs and act as the main contact for vendors and maintenance

Support health and safety initiatives as part of the Joint Health & Safety Committee
What You Bring
-
5+ years of experience in executive-level support and office management, ideally in a startup or high-growth tech environment

A strong tech skillset, you’re fluent in Microsoft Office, Zoom, Slack, and can quickly master new platforms
-
Experience managing complex schedules, inboxes, and priorities in a dynamic, fast-moving setting
-
A calm, solutions-oriented mindset with the ability to pivot quickly when plans change
-
Exceptional communication skills and professional presence; you represent the CEO and Cerio with polish and discretion
-
Strong organizational and multitasking abilities, managing competing demands
-
Knowledge of Ontario health & safety regulations is an asset
-
A valid driver’s license and access to a vehicle for occasional supply pickups
-
Must be within commuting distance of Kanata, ON as this is a hybrid role requiring in-office presence 2 days/week
