Under the supervision of the Commercial Director – Design Agreements, the incumbent is responsible for the administrative management related to the preparation and implementation of professional services agreements (architecture, engineering, and specialized services) for Pomerleau’s projects, throughout both the proposal phase and the project execution phase.

What you will do

  • Prepare agreements based on corporate templates and incorporate modifications throughout negotiations, as well as develop the specific content required for each agreement (e.g., scope of services, schedule, fee breakdown, etc.).

  • Follow up with internal and external stakeholders to obtain the required documents and information to be included in the contract.

  • Manage the planning of activities related to the setup and execution of agreements, including target dates, meetings to coordinate, and other organizational requirements.

  • Update tracking and progress reports related to the preparation of agreements.

  • Continuously update the consultants’ contractual information database in Salesforce.

  • Stay alert to potential improvements and innovations in template documents and internal procedures.

This role could be for you if you have

  • Minimum of 3 years of relevant experience in a similar role.
  • Education in administration; a legal secretarial diploma is considered an asset.
  • Hands-on experience working with contractual documents, including strong proficiency in Word, Acrobat Writer, DocuSign, and other contract management tools.
  • Understanding of general concepts found in contracts, both legal and commercial.
  • Ability to plan and coordinate all activities involved in the preparation and management of agreements.
  • Strong communication skills, with the ability to maintain consistent and effective interactions with internal and external stakeholders.
  • Excellent command of French and English, both spoken and written.
  • Strong teamwork skills and the ability to collaborate effectively.
  • Proven ability to prioritize and manage multiple files simultaneously.
  • Autonomy, rigor, ability to meet deadlines, and strong initiative.
  • Positive and dynamic attitude.
