We are seeking an Accounts Payable Clerk to join our team on a part-time 6-month contract basis in our Toronto office. This role can have a fully remote work schedule.
Key responsibilities:
Cheque Management
- Reviews client disbursement cheque requisitions and trust cheque requisitions to ensure information is correct. ie/ proper authorizations, correct client matter numbers and codes and directions for trust cheques.
- Inputs information into Aderant and Prints cheques. Distributes cheques via inter office mail or calls assistants to pick up cheques. Approximately 60-100 cheques issued daily.
- Prints cheques once information is input in Aderant.
Obtaining Signatures
- Obtains signatures on cheques from signing officers throughout the Toronto Office. 3-4 cheque runs daily, or more according to closings.
- Distributes cheques via inter-office mail or calls assistants to pick up cheques.
Cheque Preparation
- Prepares cheques and has cheques signed for real estate and corporate closings.
- Photocopies cheques and faxes copies to the bank in order to have cheques certified.
- Arranges for courier to take cheques to the bank for certification on rush basis. Voids cheques and stop payments in Aderant.
Bank Drafts
- Orders foreign bank drafts as requested and ensures funds are available.
- Phones bank for the currency rates, calculates the amount to be charged in Canadian currency, and faxes information to the bank.
- Arranges for courier to pick up bank drafts at the bank, inputs costs of bank drafts and charges to the file in Aderant, and files requisitions and bank draft information.
- Weekly inquires at the bank for U.S. buying and selling rates, e-mails details to accounting staff, and provides information to inquiring assistants.
Petty Cash
- Maintains and distributes petty cash to assistants as required.
- Ensures policies are followed for petty cash requisitions ie/cash limit, authorizations, receipts attached and correct information.
- Reconciles and replenishes two petty cash floats for staff and hostesses on a weekly basis.
Log Wire Transfers
- For out-going wires, logs onto the bank’s website and enters wire payment beneficiary details.
- Takes the out-going wire supporting details to signing officers and requests them to approve the wire on-line.
Preparation of Reports
- Runs reports for cost, trust, vouchers on a daily basis.
- Files requisitions, reports, bank drafts information and void cheques.
Other Duties
- Other duties as assigned.
What you'll bring:
- Completion of an accounting program from a college with minimum 2 years work experience.
- Knowledge of basic accounting and firm policies and procedures.
- Word, Excel and working knowledge of Aderant.
- Strong communication skills.
- Prioritization skills in a very busy and multi-faceted environment.
