Role Description
The Executive Assistant, Enterprise Data & Analytics (ED&A) provides comprehensive administrative, coordination, and support to the VP, ED&A; and the EVP, Treasury and Capital Markets. Working closely with both teams, the Executive Assistant will coordinate scheduling and submit expenses, support project coordination, coordinate lender engagement, administer financial activities, and aid in the development of ongoing communication initiatives.
Responsibilities
Executive & Administrative Support
- Provide traditional executive assistant support, including calendar management, meeting coordination, agenda preparation, and follow-ups for senior leadership.
- Prepare briefing materials, presentations, and summaries to support executive decision-making.
- Submit and track expense reports, ensuring accuracy, timeliness, and policy compliance.
- Act as a liaison between the executives, internal teams, and external partners to ensure clear communication and timely responses.
Project & Steering Committee Coordination
- Coordinate project logistics, timelines, and deliverables across multiple stakeholders.
- Maintain project documentation, status updates, and issue logs to support governance and reporting.
Financial Coordination & Lender Engagement
- Liaise with lenders to coordinate availability and assist with booking meetings and other events.
- Support weekly bond pricing review processes, including consolidating inputs from lenders and preparing summary materials.
- Assist with maintaining and updating guarantee trackers, ensuring accuracy and completeness.
- Coordinate activities related to lines of credit, working with municipalities, lenders, and other external entities, as required.
- Ensure required payments are executed accurately and on schedule, coordinating with internal finance teams and external parties as needed.
Experience and Qualifications:
- 5+ years of related administrative and communications experience. Experience managing and leading projects is considered an asset.
- Previous experience supporting C-suite leadership in a large organization.
- College degree in a related discipline.
- Ability to use initiative and self-managing skills to work independently with minimal direction and respond effectively to issues that arise.
- Ability to effectively partner with all levels of the business and develop / sustain cooperative working relationships with internal staff, clients and external contacts.
- Ability to communicate effectively, both oral and written
- Ability to exercise confidentiality.
- Ability to work effectively across time zones.
- Ability to allocate time effectively, work under pressure and manage tight deadlines; ability to handle multiple demands, competing priorities and adapt to new ideas and constant changes; analytical and detail oriented. Keen focus on producing accurate and high caliber work.
- Advanced knowledge of Microsoft Word, Power Point and Excel; advanced proficiency in spelling, punctuation, and grammar.

The expected annualized base salary range for this role is $70,000 -$85,000
