About the role
Role Impact:
The Administrative Coordinator will support the Senior Manager, Tenant Projects and the Manager, Tenant Projects (the Team) in administrative tasks including but not limited to, preparing and distributing documentation and reports, assisting in formulation and management of TDC Contracts, scheduling appointments and meetings, coding and processing invoices and expenses, and prioritizing workload to ensure operational efficiency.
What you will deliver:
-
Provide administrative support to the Senior Manager and Project Managers/Coordinators
-
Process Project Management invoices/create purchase orders through CF’s Invoicing Platform
-
Point person for Area Certification/Shutdowns/Xray/Coring/Scanning/Environmental Assessments - coordinates with the Team, General Contractors and other teams as required
-
Support the team with contract negotiation and award process, using RFP/RFQ processes through CF Exchange
-
Department expert of CF Exchange and related processes.

Assists with Information Requests
-
Primary Person monitoring PM Communications to ensure requests are being distributed for
-
Assist in the running of PM Meetings
-
Assist with access to the Complex
-
Will be required periodically to attend sites in PPE to review conditions or provide access
-
Responsible for TDC’s Design and Construction Manual – coordinates with teams to ensure contacts and procedures are up to date
-
Recommend and implement enhancements to current procedures within own area of responsibility by researching, designing, developing processes that will improve operational effectiveness.
-
Organize and maintain digital and physical filing systems to ensure the timely and accurate distribution of all information.
-
Pro-actively support PM initiatives and enhancement projects.
-
Support PM Team in general administrative duties including but not limited to arranging meetings, calendar management, filing, catering and expenses.

Process all mail, and courier packages as required
-
Assist with Main Office Reception as required
-
Seeks opportunities to remain current in the field

Execute special projects and other duties as assigned
What your strengths are:

Previous experience in handling confidential or sensitive information

Ability to implement strategic initiatives and to raise the bar when establishing new standards

Good verbal and written communication skills to deal with internal and external contacts.

What you need to succeed:
-
Post-secondary education in Construction, Business Administration and Facilities Management preferred.
-
Minimum 3 years related work experience, including 1 year supporting multiple managers
-
Formal training on a variety of computer applications and systems e.g., Project, Power Point, Access, Excel, and Google application
-
Knowledge of RFP/RFQ process
Starting base salary for this job level may range from $49,103 - $65,471. The actual base salary offered will consider several factors including, but not limited to the role, experiences, skills & qualifications, location, market and internal considerations; with this context, CF reserves the right to pay above this range.
